ASSISTANT PROPERTY MANAGERJOB DESCRIPTIONTowner employs Assistant Property Managers to assist Property Managers withthe management and daily operations of the properties that Towner manages. AssistantProperty Managers are responsible for the day to day operations of their properties.Assistant Property Managers report to the property’s Property Manager.Essential FunctionsAll Assistant Property Managers must be available to work five days a week from8:30 am until 5:00 pm, at their property locations. Each Assistant Property Manager mustbe able to walk to all floors at their properties, including basements and attics, whereaccessible. If the Assistant Property Manager manages properties at scattered sites, theAssistant Property Manager must have a properly licensed vehicle they can use, and mustpossess a valid Maryland Driver’s License, and have a good driving record, as definedabove.General DutiesAll Assistant Property Managers shall have the following general responsibilities:1. Provide friendly and efficient service to all residents, applicants, prospectiveapplicants, owners, and regulators. The Assistant Property Manager shall answerphones and greet visitors. The Assistant Property Manager shall be responsiblefor responding to and completing all requests received through the phone andwalk-ins, including but not limited to accepting rents, entering maintenancerequests, and showing apartments.2. Report to the Property Manager all relevant matters concerning the property,including but not limited to the following:a. Maintenance Requestsb. Showings (and requests for showings)c. Applicationsd. Physical issues with the building and/or groundse. Problems with tenantsf. Tenant suggestions and/or concernsg. Other matters of significance with respect to the property3. Enter and closeout maintenance requests. The Assistant Property Manager shallfollow up with maintenance techs and porters about the status of maintenancerequests. The Assistant Property Manager shall keep the Property Managerinformed about the status of all maintenance requests.4. Accept and code rents. Collect rent monthly, review tenant receivables frequently,and make personal contact with delinquent tenants to insure that all rent is paideach month. Rent collection includes timely rent court filings, and evictions, whennecessary. Collection of rent includes maintaining the accuracy of all tenantledgers, insuring that monthly posting reports correctly charge rent to each tenant’saccount. The Assistant Property Manager shall keep the Property Managerinformed of any ledger discrepancies and rent collection issues.5. File correspondence regarding the property in the proper electronic and paper files.Maintain tenant files in a neat and orderly condition and insure that alldocumentation, applications, leases and renewals, certifications and recertifications and required tenant information are properly maintained.6. Show apartments to prospective tenants.7. Process applications for qualified applicants following company tenant selectioncriteria, and using proper application forms. Prepare certifications of income andassets of each new applicant confirming the eligibility of the applicant to occupythe unit, in accordance with the regulatory documents, and federal and Stateguidelines for the certification of incomes.8. Track keys that have been given to tenants, maintenance techs, porters, andcontractors. Ensure that keys are returned in a timely manner.9. Track parking permits that have been given to tenants. Ensure that parkingrestrictions are enforced.10. Deliver letters and post notices. Review with the Property Manager outstandingcharges and lease renewals to determine any notices and letters that must be sent totenants.11. Assist Property Manager with re-certifications. The Assistant Property Managershall perform annual inspections and income verifications and have tenant sign therequired documents under the direction of the Property Manager.12. Work with Property Manager to insure timely compliance with all regulatoryrequirements, including proper maintenance of tenant files, income certifications,lease renewals, Section 8 forms and contracts, HAP contracts, and other similarregulatory requirements.13. Assist Property Manager with weekly property inspections to include commonareas, trash rooms, parking lots and any other facilities that are included within theconfines of the property or properties to which you are assigned. Assist Propertymanager with annual inspections of each rental unit (occupied or unoccupied). Anyresident’s having housekeeping issues and/or any damage to their units; must bereported to your Property Manager for proper and follow through action.14. The Assistant Property Manager shall have a clear and concise understanding ofYARDI and how it relates to the every-day management of Towner properties.YARDI’s primary function is to manage and monitor the activities of the propertyto which you are assigned (i.e., open/closed maintenance requests, delinquentrents, vacant/occupied and future vacancies; etc.) however, the information inYARDI is only as good as the data entered by the responsible parties.
