Position Summary: The Assistant Dental Office Manager is a friendly, well-organized, growth-oriented multi-tasker who can positively motivate a dental team of Doctors, Hygienists, Front Office, and Ortho Assistants. Under limited supervision, the Assistant Manager works with the Ortho Dental Office Manager to ensure the successful operation of the dental office as a business unit. This includes managing staff, ensuring compliance with guidelines from the state and corporate office, maximizing revenue, and providing excellent patient service.

Essential Functions: To perform this job successfully, an individual must be able to perform, with or without reasonable accommodation, each essential function satisfactorily. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform these functions.

  1. Supervise and evaluate work activities of dental office personnel, keep the Office Manager informed of issues, and assist in managing overtime or misuse of time clock.
  2. Maintain communication between the Office Manager and the dental team, attend interoffice meetings, and coordinate interdepartmental functioning.
  3. Review and analyze facility activities and data to aid planning, financial, and risk management, and improve service utilization. Assist with the Manager Audit Worksheet.
  4. Review and assess Scheduling Institute procedures, assign role-play call times, and counsel on deviations from training.
  5. Review Quick Fill Logs to ensure missed appointments are called and noted in the account by end of day Friday.
  6. Listen to Marchex phone calls with the Dental Office Manager.
  7. Audit ClaimsX Denial Report.
  8. Occasionally take bank deposits.
  9. Attend quarterly manager training.
  10. Balance day sheets and close the office at least once a week.
  11. Assist with planning, implementation, and administration of programs and services, including personnel management and training.
  12. Respond to patient and staff inquiries and complaints, solicit feedback, and participate in achieving patient satisfaction.
  13. Prepare activity reports and monthly reports for management and corporate office.
  14. Establish work schedules and assignments based on workload and resources.
  15. Enforce dress code and cell phone policies.
  16. Inspect facilities and recommend maintenance to ensure safety, access, and sanitation compliance.
  17. Monitor resource use to ensure effective utilization and assess staffing needs.
  18. Maintain regular and reliable attendance.

Skills & Abilities: High School diploma or GED required. Over 1 year of management or dental office experience. Certification through Scheduling Institute within 30 days if not already certified. Knowledge of dental software (Eaglesoft preferred), Microsoft Office (preferred). Excellent communication and customer service skills, proficiency in patient and insurance accounts receivable or treatment planning. Professional appearance and conduct. Availability Tuesday-Saturday. Must have a valid driver’s license, vehicle insurance, and pass Motor Vehicle Record check if operating company vehicles or personal vehicle for company business. Knowledge of CDT Codes and passing the bi-annual CDT test required.
