We provide administrative and organizational services to simplify sourcing leads, marketing, billing, and payment collection from patients and insurers. About The Role

The Assistant Facilities Manager will collaborate with team members, contractors, vendors, property managers, and the COO to contribute to company projects and oversee facilities' maintenance and improvements. Responsibilities include project, people, and inventory management, coordination with property management, troubleshooting onsite issues, and growing a facilities team. The ideal candidate has experience in property management, construction, interior design, or related fields. This is a full-time position.

Responsibilities
  • Manage relationships with property managers and support Office Managers in resolving facility issues.
  • Act as the first contact for escalated facility issues, including after-hours incidents.
  • Maintain cleaning standards at corporate headquarters with Facilities Assistants.
  • Manage and mentor a team of facilities staff, supporting their professional development.
  • Assist in lease renewal negotiations.
  • Identify and facilitate facility improvements and repairs.
  • Coordinate vendor services for office improvements and repairs.
  • Oversee inventory and building access, supporting Facilities Assistants.
  • Track and oversee the facilities budget.
  • Manage office supplies procurement and capital expenditures, working with accounting.
  • Report on expenses and support budget planning.
  • Delegate tasks to Office Managers and Facilities Assistants.
  • Enforce policies and procedures for facility management.
  • Lead process improvements in facility management.
  • Create and distribute policies and procedures documentation.
  • Utilize software tools like PowerPoint, CAD, Adobe, SmartDraw, Microsoft Project, and Excel for tracking and communication.
