Job summary

All Things Commercial, LLC is seeking an Assistant Facilities Coordinator in Pearland, TX to support Account Managers by overseeing maintenance work orders from start to finish. The role tracks progress of in-house technicians and subcontractors, requiring foundational knowledge of trades such as plumbing, electrical, and remodeling.

You will procure materials, generate purchase orders, supervise onsite subcontractors, upload job details and photos, and manage invoices and cost tracking.

Qualifications

• High school diploma or equivalent.
• Previous experience in an administrative or office role is a plus.
• A minimum of 1-2 years of experience in construction or facility maintenance.
• Customer service-oriented.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Capable of effectively managing tasks and ensuring smooth workflow operations.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Responsibilities

• Coordinate with in-house technicians and subcontractors to manage job check-ins and check-outs while providing real-time updates to clients.
• Procure materials required for work orders.
• Generate purchase orders for subcontractors and ensure compliance with company policies.
• Oversee subcontractors onsite, collecting notes, photos, quotes, and invoices.
• Upload job-related details, including photos and notes, into multiple systems.
• Enter proposals and invoices into client platforms accurately.
• Track labor and material costs, process receipts, and manage invoices for each job.
• Provide administrative support to other departments as needed.
• Assist with email correspondence and internal communications.
• Maintain an organized and efficient office environment on a daily basis.
