Assistant Dental Office Operations Manager

This position will be responsible for overseeing the smooth operation of the front desk and managing the flow of front desk business and phone coverage. It assists the Practice Administrator as needed and is responsible for the office in the Practice Administrator's absence. The role involves frequent contact with patients and aims to ensure a positive first impression.

  • Address A/R accounts with patients before treatment is rendered.
  • Manage office collection accounts and handle all incoming web inquiries and email correspondence.
  • Maintain an environment that promotes an outstanding patient experience.
  • Ensure the office is clean and presentable daily.
  • Manage the schedule for front desk staff, arrange coverage for time off, and delegate duties.
  • Process payroll for administrative staff as needed.
  • Assist as backup for patient coordinators and specialty treatment coordinators when required.
  • Address performance concerns with patient coordinators as needed.
  • Responsible for new employee orientation and training, including HIPAA, OSHA, and Sexual Harassment policies.
  • Assist with DV Login, uniform ordering, schedule adding, and ensure daily processing of Dental Exchange and NEA.
  • Track, audit, and oversee daily/monthly bank deposits and petty cash.
  • Order business office supplies within budget guidelines set by the Practice Administrator.
  • Review router slips and charts for the next business day, ensuring all charts are prepared and transferred if necessary.
  • Oversee the maintenance and archiving of charts.
  • Manage the Daily Dashboard and hold team members accountable for completing tasks.
  • Maintain a retail product inventory log, cross-referenced with DV, and order retail products as needed.
  • Organize incoming and outgoing mail.
  • Ensure strict compliance with federal, state, and other regulations (OSHA, WC, Dental Board, HIPAA, ADA, DOL, company policies & procedures).
  • Perform other tasks as requested by the direct manager.

Education & Experience:

  • High School Diploma or GED.
  • At least 3 years of dental front desk experience.
  • Ideal candidates will hold a Bachelor’s degree in Healthcare Administration or a related field.

Knowledge, Skills & Abilities:

  • Proven ability to develop highly productive working relationships.
  • Strong computer skills, including proficiency with Microsoft Office and healthcare practice management systems.
  • Excellent customer service skills and a successful record in customer relations management.
  • Outstanding written and interpersonal communication skills.
  • Ability to work independently and professionally in a fast-paced environment.
  • Capacity to handle sensitive and confidential information discreetly, inspiring confidence and trust.
  • Effective project management with proper prioritization and time management skills.
  • Understanding of Profit & Loss processes.
  • Knowledge of insurance procedures is preferred.
