Job summary

FirstService Residential in Chicago’s Loop is seeking an Assistant Community Association Manager to support the Community Association Manager with administrative and project duties. You will handle lease administration, income/expense tasks, and resident relations within a fast-paced environment.

The role emphasizes organizing files, processing leases, producing board packets, and generating regular reports.

Qualifications

• Active Community Association Manager license in Illinois.
• Strong verbal and written communication skills.
• Ability to multi-task and prioritize multiple projects.

Responsibilities

• Organize and maintain all homeowner and administrative files and perform annual association file cleanout in accordance with company standardized systems.
• Manage and process all leases within the building, including uploading lease to Connect and tracking through the Master Lease List.
• Maintain service excellence in interactions with residents, vendors, staff, and colleagues; respond within one business day.
• Assemble Board Packets in a clean, orderly, and professional fashion.
• Update and generate required association and management reports as instructed by the Community Manager.
• Manage moves, deliveries, staging, and resident contractors for elevator use, including move fees and insurance documents.
• Coordinate printing and electronic distribution of monthly newsletter and upload documents to Connect and Community Website.
• Monitor and address resident disputes and build positive relationships between residents and management.
