Qualifications

Responsibilities

  • Monitor and improve day-to-day clinic operations to ensure workflow and high patient satisfaction.
  • Evaluate team performance and support ongoing development, training, and coaching.
  • Foster a collaborative culture focused on accountability and continuous improvement.
  • Collaborate with medical providers to align clinical and administrative operations.
  • Ensure compliance with HIPAA, OSHA, and applicable healthcare laws.
  • Monitor and manage site budget, expenses, and revenue; identify opportunities for cost containment.
  • Oversee front desk, billing, and scheduling functions for accurate patient processing.
  • Lead quality improvement initiatives and implement best practices for patient care.
  • Serve as a point of escalation for patient concerns with professionalism.
  • Maintain records and documentation as required by regulators.
  • Ensure adherence to policies and service standards.
  • Prepare reports on performance metrics for senior leadership.
  • Participate in strategic planning and site growth, marketing, and outreach.
  • Conduct regular site visits and operational audits.

The Assistant Clinic Manager at MaxHealth MSO performs operational, financial, and administrative management duties to support high-quality patient care and efficient clinic operations. This is a developmental leadership role designed to prepare the employee for Clinic Manager responsibilities, with training, guidance, and supervision from company leadership.

Through this role, the employee develops the knowledge and skills needed to manage clinic performance, lead staff, maintain compliance, and support organizational goals. The Assistant Clinic Manager serves as a liaison between staff, providers, and leadership and assumes increasing responsibility as training progresses.

Responsibilities

The following responsibilities are performed with training, guidance, and supervision from company leadership:

  • Monitor and improve day-to-day clinic operations to ensure workflow and high patient satisfaction, including staffing, scheduling, and supplies.

  • Lead quality improvement initiatives and implement best practices for patient care delivery and operational effectiveness.
  • Serve as a point of escalation for patient concerns and resolve issues with professionalism and empathy.
  • Maintain accurate records, reports, and documentation as required by the organization and regulatory agencies.
  • Ensure adherence to company policies, procedures, and service standards.
  • Prepare reports on performance metrics, staffing, and operational issues for senior leadership.
  • Participate in strategic planning and contribute to site growth, marketing, and community outreach efforts.
  • Conduct regular site visits and operational audits to assess compliance, performance, and morale.
Education
  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred, but not required.
Experience
  • Minimum 1-3 years of healthcare management experience, preferably in a multi-provider or multi-specialty clinical setting.
  • Proven experience in team leadership, process improvement, and financial management
Skills and Abilities
  • Strong leadership, interpersonal, and organizational skills.
  • Knowledge of electronic health records (EHR) and healthcare billing processes.
  • Proficient in Microsoft Office Suite and practice management software.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with diverse teams and manage multiple priorities.
  • Bilingual in English and Spanish required.
Work Environment, Travel and Physical Demands
  • Primarily office-base. The role will require occasional travel to other clinic locations for training and corporate meetings.
  • Requires sitting, standing, and walking for extended periods.
  • Occasional lifting of up to 50 pounds may be required.
