Qualifications

  • Bachelor’s degree not required but strong organizational skills are essential.
  • Experience supporting executives in a fast-paced environment is preferred.

  • Updates artist one sheets with updated stats and numbers weekly.
  • Schedules artist sessions set by Executive.
  • Maintains smooth information flow among internal and external teams.
  • Contributes marketing ideas and creative brainstorming.

Job description

Summary/Objective: The Assistant provides administrative support to the MDDN and artist teams, following all MDDN standards for service.

Responsibilities:
  • Provides administrative support with integrity and discretion in handling confidential information, and professionalism in dealing with manager's business as well as personal contacts
  • Balances and maintains calendar for Executive: set all calls, meetings, zooms
  • Ensures all the information is in Executive's calendar is correct and updated accordingly
  • Ensures executives are set up for success in every way including: sending daily schedules each morning, provide reminders of upcoming events, provides all the details concisely executives are prepared
  • Ensures artist's calendar and schedules are correct in partnership with Coordinator and Associate
  • Assists in prioritizing unanswered emails and brings them to the attention of the Executive timely
  • Updates all artist one sheets with most recent stats and numbers weekly
  • Handles scheduling of artist sessions set by Executive
  • Keeps information flowing among all members of internal and external teams
  • Helps with marketing ideas and creative brainstorming
  • Coordinates travel for executive and makes sure the schedule is accurate across multiple time zones including: promo schedules travel bookings, sorting visas, accommodations, and itineraries
  • Assists travel coordination in partnership with Tour Manager and provides itineraries for vans, hotels, and flights
  • Processes all show guest list, press, and photography requests in partnership with the Tour Manager
  • Assists on-site at client events, shows, shoots, as needed/requested by supervisor.
  • Adheres to all formatting and posting standards related to MDDN social media posting
  • Additional duties outside of this list of responsibilities may be assigned by the employee’s manager from time to time
Qualifications:
  • High School Diploma or GED required
  • 1-2 years of experience in the Entertainment Industry required
  • Demonstrates good common sense, be reliable, trustworthy, and capable of handling high-stress situations in a calm manner
  • Ability to operate with an exceptional attention to detail, excellent organizational and analytical skills, and most importantly, the ability to prioritize and multi-task under extreme pressure in a fast-paced environment
  • Intermediate knowledge of GSuite/Microsoft Office toolsPhysical Requirements:
  • This position may require the employee to stand, walk, or sit for long periods of time beyond 8 hours
  • This position may require the employee to work in environments with loud sound
