Job summary

NES Fircroft is seeking a diligent contractor onboarding & support professional in Houston to oversee pre-mobilization tasks, coordinate with vendors for medicals and background checks, and manage end-to-end onboarding lifecycle.

You will maintain records, ensure timely approvals, and communicate effectively with contractors and internal teams while staying updated on policy changes and legislation across regions.

Qualifications

  • Industry Experience – Background in onboarding, compliance, or contractor support. Experience managing background checks, drug screens, and E-Verify is a plus.
  • Strong written and verbal communication skills with a confident, outgoing personality.
  • Meticulous and organized, with a proven ability to manage sensitive information and meet deadlines.
  • Thrives in a collaborative environment but can work independently and take initiative.
  • Comfortable navigating policies, procedures, and compliance requirements.
  • Passionate about delivering a high-quality experience to contractors and internal stakeholders.

Responsibilities

Job description

What You’ll Be Doing:
  • Contractor Onboarding & Support – Oversee pre-mobilization activities, ensuring all onboarding tasks are completed accurately, compliantly, and on time.
  • Process Coordination – Track placement lifecycle progress using Bullhorn and internal systems, maintaining up-to-date records and ensuring timely approvals.
  • Vendor Collaboration – Coordinate with external providers to arrange medical evaluations, initiate background checks, and schedule safety training sessions.
  • Relationship Management – Build strong rapport with contractors, providing clear communication and ongoing support throughout their assignment.
  • Compliance & Legislation Awareness – Stay informed of process updates, client requirements, and relevant country-specific legislation.
  • Mailbox & Query Management – Prioritize and respond to queries from the shared mailbox, ensuring timely resolution and documentation.
  • Team Collaboration – Work closely with internal teams to meet client demands and maintain consistency of service across disciplines.
  • Offboarding Oversight – Manage the offboarding process by deactivating accounts and reducing risk exposure through timely action.
  • Reporting & Monitoring – Present weekly compliance reports, track onboarding status, and address issues in collaboration with recruitment consultants.
  • Drug Screening Coordination – Conduct monthly monitoring of random drug screenings, ensuring full compliance with company policy.
  • Audit Support – Assist with internal and external audits by gathering and distributing required documentation promptly.
  • Contractor Assistance – Provide ongoing support to contractors, resolving portal issues, clarifying onboarding steps, and updating personal information.
