General Summary

The Aquatics Coordinator of Guest Services is responsible for providing excellent customer service to members and associates of the Aquatics Department of PRO Club/Bay Club, while enforcing club/aquatics rules and policies. Customer service is performed with enthusiasm, friendliness and a willingness to help others. The Aquatics Coordinator of Guest Services will work closely with Management to oversee the operations of the lifeguard, swim instructor, concierge and swim team roles to make sure training, procedures, and facility development run smoothly and efficiently. They will be the main point person for our scheduling with swimming lessons. Must be able to work under pressure and multi-task.

Primary Job Functions

  • Owns the continued support of the scheduling system for swim lessons in Connect for members, associates, and is the club wide contact. (creates new procedures and continued training to maintain consistency)
  • Oversees Aquatics concierge team – ensuring that group and private lesson scheduling, billing policies and procedures, instructor rates/commissions and availability in computer software is executed properly. Holds associates accountable for closing out all billing.
  • Handles Aquatics related billing inquiries with a 24-hour response time on regularly scheduled days. This includes assisting members directly or member accounts with questions about billing and account statements. Including payment options / expired payment / disputes.
  • Lesson software data input – scheduling needs, new hire schedules, new session classes, etc.
  • Assists members and associates with scheduling and training in CONNECT and other software (ADP)
  • Cross trains with all other departments to understand their services offered
  • Accurately checks members and guests in for all appointments and/or classes
  • Upholds “show ready” standard for both aquatics staff and front stage offices
  • Assists in confirmation of department schedules for lifeguards, swim instructors, concierge, etc., especially on weekends, to secure adequate coverage
  • Assists with on-board training and orientations that are set up for Swim Instructors/Lifeguards including teaching PRO Club/Bay Club standards, expectations and role specific training.
  • On-going training to develop a thorough understanding of all aquatic roles, what it takes, skills required, and training with the intent to advance current techniques.
  • Assists with ensuring that associates are effective in enforcing safety, department, and club policies and procedures.
  • Assists management with certification programs including certification courses, re-certification courses, and in-service training within the Aquatics department
  • Assists in setting up, preparing, and/or facilitating reviews with associates when needed
  • Attends and participates in planning and presentation of staff meeting content and training programs
  • Tracks, processes, and reports all documentation needed to follow protocols regarding accident / incident and related report forms (Certifications, quick saves, in-service attendance, timed responses).
  • General supervision of Aquatics area
  • Answers all procedural questions to ensure proper execution by associate members
  • Stays current on industry safety regulations and rules to ensure PRO Club/Bay Club observes highest safety standards
  • Monitors associates to ensure they are show ready prior to and during their shifts
  • Work shifts as needed to ensure coverage and compliance with all policies and procedures. Willing to work extra hours and have a flexible schedule when needed.
  • Regular engagement of members and associates to build positive relationships and learn how to best anticipate and meet their needs
  • Communication between all management, leadership, and associates to ensure smooth transfer of information during operating hours
  • Attend regular check-in meetings & works closely with management on duties as needed
