Job Summary
Position Overview
We are seeking an experienced, detail-oriented Accounts Payable Manager to lead our global procure-to-pay (P2P) operations. In this role, you will lead a hybrid operational model-directing a core team of five US-based AP professionals while managing and governing an outsourced Accounts Payable team in India.
The ideal candidate brings strong leadership, experience managing offshore/global shared service teams, and deep technical expertise in 3-way matching (PO, Receiving/Packing Slip, Vendor Invoice) within a manufacturing ERP environment. You will be instrumental in maintaining strict internal controls, improving processing speed, and ensuring seamless cross-time-zone collaboration.
Key Responsibilities
Offshore Governance & Team Leadership
- Direct day-to-day operations of the AP function across a global delivery model, managing 5 US-based direct reports and overseeing daily workflow execution, SLA tracking, and quality assurance for the outsourced team in India.
- Establish standard operating procedures (SOPs), quality control audits, and Key Performance Indicators (KPIs) for the offshore AP processing team.
- Lead daily/weekly syncs with offshore team leads to clear processing bottlenecks, resolve complex escalations, and manage handoffs across time zones.
- Mentor and develop the US-based team to focus on strategic tasks, exception management, vendor relationship management, and complex reconciliations.
3-Way Matching & Process Management
- Oversee and audit the multi-way matching process (Purchase Order, Bill of Lading/Receiving, and Vendor Invoice) executed across both local and offshore teams.
- Act as the final escalation point for resolving 3-way match discrepancies in pricing, quantities, freight, and payment terms between Purchasing, Receiving, Plant Operations, and Vendors.
- Manage high-volume payment runs (ACH, wire, check, corporate card) and enforce strict 1099 and W-9 compliance.
- Lead the monthly AP close process, ensuring timely sub-ledger to GL reconciliations and accurate month-end expense accruals across all global processing queues.
- Monitor offshore team output accuracy to guarantee adherence to US GAAP, internal controls, and audit guidelines.
- Partner with Treasury and Finance leadership to provide accurate cash-flow forecasts based on upcoming vendor obligations and early-payment discount opportunities.
- Identify opportunities to optimize processing workflows, digital invoice ingestion (OCR), and approval routing between local plant operations and the offshore team.
- Continuously refine task allocation to ensure transactional processing is efficiently handled offshore while maintaining strong internal governance onshore.
Key Qualifications & Experience
- 5+ years of progressive Accounts Payable experience, with 2+ years managing teams in a hybrid onshore/offshore or outsourced global delivery model (specifically managing India-based teams or shared service centers).
- Manufacturing, distribution, or high-volume supply-chain environment experience strongly preferred.
- Technical Skills:
- Advanced proficiency in executing strict 3-way matching workflows within an ERP system (e.g., SAP, Oracle, NetSuite, Infor, or Microsoft Dynamics 365).
- Expertise with automated invoice scanning/OCR and digital workflow management software.
- Advanced Microsoft Excel skills (VLOOKUPs, Pivot Tables, data validation).
- Bachelor’s degree in Accounting, Finance, or Business Administration preferred (or equivalent combination of education and global AP experience).
- Exceptional written and verbal communication skills with demonstrated success managing cross-cultural teams across different time zones.
