Job summary

UCLA Health is seeking a Team Assistant to support patient flow across 25+ specialties within its ambulatory network, including primary care and surgical practices.

The role requires traveling to multiple UCLA Health locations, maintaining smooth operations, processing authorizations, and scheduling tasks while delivering exceptional patient service. Onsite/remote options are available with staffing coverage across sites.

Qualifications

• Ability to travel to various UCLA Health locations and being physically present at the job site.
• Ability to work various days/shifts and occasional weekends; Days and hours may vary depending on assignments.
• Familiarity and knowledge of authorization process and managed care programs.
• Knowledge of medical terminology.
• Skill in setting priorities which accurately reflect the relative importance of job responsibilities.
• Ability to establish and maintain productive working relationships with Faculty, Staff, Administration, and patients from various social, cultural, and economic backgrounds.
• Skill in verbal communications to clearly convey complex problems in both formal and informal situations.
• Ability to interact diplomatically and sympathetically with a patient population in varying degrees of health.
• Ability to creatively integrate competing demands into a productive working environment.
• Ability to demonstrate clear knowledge of job responsibilities; skillfully use equipment, software and tools required to do the job; and to work steadily to get job done.

Responsibilities

• Support patient flow from registration through discharge across UCLA Health's ambulatory network.
• Collaborate with clinic teams to ensure smooth operations and outstanding service.
• Process prior authorizations and referrals, and assist in managing clinic appointments and surgery schedules.
• Gather necessary information for successful patient consultations and provide coverage across practices as needed.
