Job summary

Waubonsee Community College is seeking an Admissions Special Populations Coordinator at the Sugar Grove campus. The role spans recruiting and onboarding special populations, including dual credit and international students, with campus-wide collaboration to expand pathways and access to programs.

Responsibilities include coordinating dual credit onboarding, advising, and ensuring timely guidance, as well as supporting recruitment events and front desk coverage.

Qualifications

  • Bachelor's degree in related field required.
  • Minimum two years related experience in the education field, including work with minority and/or adult populations.
  • Excellent communication, organizational and human relations skills.
  • Outstanding phone and e-mail etiquette.
  • Familiarity with CRM systems, data entry for updating student records and other student service/computer software.
  • Valid Illinois driver’s license required.
  • Spanish/English bilingual ability is desirable, but not required.
  • Previous supervisory experience is desirable, but not required.
  • Ability to work one evening per week and occasional weekends as required.

Responsibilities

  • Develop and maintain collaborative relationships with Adult Education staff to transition and onboard students.
  • Develop and maintain collaborative relationships with Dual Credit and P-20 Partnerships staff to support recruitment onboarding and orientation of dual credit students.
  • Coordinate dual credit advising by connecting students to appropriate resources and ensuring timely guidance.
  • Support enrollment by aiding conversion and matriculation of dual credit students into degree- or certificate-seeking programs (RISE).
  • Oversee onboarding of new International Students including annual F-1 reporting in Sevis in collaboration with relevant advisors.
  • Oversee use of XCARD in onboarding process.
  • Recommend communication flow strategies related to adult and dual credit recruitment.
  • Provide walk-in new student coverage as needed (including other campuses).
  • Assist with planning and implementation of recruitment events and attendance at events.
  • Assist with front desk phone and student intake coverage; perform other administrative duties as assigned.

The Admission’s Coordinator is a support position responsible to the Admissions Manager. The primary responsibility of this position is to work with coordinating the recruitment and onboarding of special populations, including dual credit, adults (including adult education) and international students. This position works closely with the Adult Outreach Admissions Advisor, the Admissions Manager and Dean for Admissions to implement effective outreach and onboarding strategies.

  • Develop and maintain collaborative relationships with Adult Education staff in order to effectively transition and onboard students who complete Adult Education and wish to pursue college level coursework and/or credentials.
  • Develop and maintain collaborative relationships with Dual Credit and P-20 Partnerships staff to support the recruitment, onboarding, and orientation of dual credit students, ensuring clear understanding of program expectations and long-term academic pathways.
  • Coordinate dual credit advising by connecting students to appropriate academic advising resources and ensuring timely, accurate guidance.
  • Serve as a key bridge in the enrollment pipeline by supporting the conversion and matriculation of dual credit students into degree- or certificate-seeking programs, aligning efforts with institutional goals for access, equity, and enrollment sustainability (RISE).
  • Oversee the onboarding of new International Students including submission of the annual F-1 International student reporting (in Sevis) in close collaboration with the International Academic and Career Advisor.
  • Oversee the use of XCARD in the onboarding process.
  • Recommend communication flow strategies related to adult and dual credit recruitment.
  • Provide walk-in new student coverage when necessary (including other campuses).
  • Maintain general knowledge of college activities, programs and requirements with the ability to refer inquiries to the appropriate personnel.
  • Assist with the planning and implementation of recruitment events and attend events as needed.
  • Assist with providing front desk phone and student intake coverage as needed.
  • Assist with administrative office tasks as needed.
  • Perform other duties as assigned.
