Job summary

University of Indianapolis seeks an Admissions Processing Specialist to manage admissions tasks in Slate CRM and deliver excellent customer service to prospective students and families. The role supports the Office of Admission and collaborates with other offices to ensure accurate document processing and timely communications.

The position emphasizes process ownership, data integrity, and the ability to adapt to evolving platforms and institutional needs.

Qualifications

  • Prior office experience that includes front-line customer service, database, and data entry experience. High school counseling, transcript management, or related experience preferred. Slate experience preferred.
  • High School diploma or GED required; Bachelor’s Degree preferred.

Responsibilities

  • Assist with the intake, review, and processing of admissions documents in Slate, including transcripts, test scores, letters of recommendation, and application materials.
  • Review and analyze transcripts and convert GPAs as needed; enter information into Slate and move files through the reader process.
  • Provide superior customer service via phone and email to prospective students, families, and internal stakeholders.

Job Description

The primary responsibility of the Admissions Processing Specialistis to manage and execute critical admissions processes within theSlate CRM (Customer Relationship Management System) and provide asuperior level of customer service via phone and/or emailcommunications with prospective students and their families as wellas internal constituents. Under the leadership of the Director ofAdmissions, and the Associate Director of Admissions Operations,the Processing Specialist independently completes processes,troubleshoots when necessary, collaborates with other processingteam members and supports the recruiting efforts of the Office ofAdmission. The Admissions Processing Specialist takes ownershipofthese processes, provides updates and suggestions for processimprovement in support of operational needs of the Office ofAdmission.

REQUIREMENTS/MINIMUM QUALIFICATIONS

Experience

  • Prior office experience that includes front-line customerservice, database, and data entry experience. High schoolcounseling, transcript management, or related experience preferred.Slate experience preferred.

Education

  • High School diploma or GED required; Bachelor’s Degreepreferred
ESSENTIAL FUNCTIONS

Responsibilities may include:

  • Assist with the intake, review, and processing of variousadmissions documents, including but not limited to transcripts,test scores, letters of recommendation, and application materials.Review and analyze high school transcripts from across the country.Recalculate and convert GPAs to a 4.0 or unweighted scale.
  • Enters college, high school and military transcript informationinto Slate and moves files through the reader process.
  • Performs processing duties within Slate including but notlimited to record merging, major changes, and other data entry
  • Collaborates with other offices, including registrar
  • Maintains knowledge of the functionality of other departmentsrefers students as necessary
  • Cross-train with colleagues to provide support across multipleoperational tasks within the admissions cycle.
  • Support evolving data entry, document imaging, and recordmanagement processes as institutional needs and technologyplatforms shift.
  • Provides superior customer service when answering the mainAdmissions phone line and general Admissions email inbox
  • Responsible for process documentation
  • Conducts special projects as assigned
  • Follow the guidance and direction of supervisor(s).
  • Demonstrate respectful, ethical, responsible behavior.
  • Abide by the University’s policies, procedures, and rules.
  • Perform employee responsibilities as detailed in employeehandbooks and policies.
  • Demonstrate regular and predictable attendance andpunctuality.
