Job summary

The University of Indianapolis is seeking an Admissions Processing Specialist to manage admissions documents, review transcripts, and support recruitment efforts. Responsibilities include data entry in Slate, processing tasks, and providing excellent phone and email service to prospective students and families.

Under supervision, this role maintains process documentation, supports cross-training, and helps improve operational workflows within the Office of Admission.

Qualifications

  • Front-line customer service and data entry experience are required.
  • Transcript management experience is preferred.
  • Slate experience preferred.

Responsibilities

  • Enter transcript data into Slate and move files through reader process.
  • Perform processing duties in Slate including record merging and major changes.
  • Provide superior customer service via admissions phone line and email inbox.

Job Description

The primary responsibility of the Admissions Processing Specialist is to manage and execute critical admissions processes within the Slate CRM (Customer Relationship Management System) and provide a superior level of customer service via phone and/or email communications with prospective students and their families as well as internal constituents. Under the leadership of the Director of Admissions, and the Associate Director of Admissions Operations, the Processing Specialist independently completes processes, troubleshoots when necessary, collaborates with other processing team members and supports the recruiting efforts of the Office of Admission. The Admissions Processing Specialist takes ownership of these processes, provides updates and suggestions for process improvement in support of operational needs of the Office of Admission.

Requirements / Minimum Qualifications

Experience

  • Prior office experience that includes front-line customer service, database, and data entry experience. High school counseling, transcript management, or related experience preferred. Slate experience preferred.

Education

  • High School diploma or GED required; Bachelor’s Degree preferred
Essential Functions

Responsibilities may include:

  • Assist with the intake, review, and processing of various admissions documents, including but not limited to transcripts, test scores, letters of recommendation, and application materials. Review and analyze high school transcripts from across the country. Recalculate and convert GPAs to a 4.0 or unweighted scale.
  • Enters college, high school and military transcript information into Slate and moves files through the reader process.
  • Performs processing duties within Slate including but not limited to record merging, major changes, and other data entry
  • Collaborates with other offices, including registrar
  • Maintains knowledge of the functionality of other departments refers students as necessary
  • Cross-train with colleagues to provide support across multiple operational tasks within the admissions cycle.
  • Support evolving data entry, document imaging, and record management processes as institutional needs and technology platforms shift.
  • Provides superior customer service when answering the main Admissions phone line and general Admissions email inbox
  • Responsible for process documentation
  • Conducts special projects as assigned
  • Follow the guidance and direction of supervisor(s).
  • Demonstrate respectful, ethical, responsible behavior.
  • Abide by the University’s policies, procedures, and rules.
  • Perform employee responsibilities as detailed in employee handbooks and policies.
  • Demonstrate regular and predictable attendance and punctuality.
  • Other duties, including special projects, as required, or assigned.
