The Administrator I, Landlord Services is responsible for ensuring all ADUSA leased locations, consisting of approximately 1800+ locations, are efficiently and economically maintained according to lease guidelines. This role involves following up on landlord approvals, managing emergency maintenance expenditures, and researching bill backs for tenant expense recovery.

Duties and Responsibilities:

  1. Analyze Landlord maintenance and repair issues for all banners according to operational procedures and lease requirements in a timely manner.
  2. Prioritize and analyze emergency situations daily.
  3. Provide Landlords with proper notice of maintenance issues and follow up until completion.
  4. Send legal notices of default to Landlords, Lenders, and Property Managers for unresolved issues.
  5. Confirm completion of work with store managers and/or maintenance technicians before closing work orders.
  6. Review lease language to determine responsibilities, previous work orders, and validate default notices; document in maintenance software.
  7. Partner with Legal Department on escalated repair requests requiring legal assistance.
  8. Enforce lease provisions, send notices, and default letters to non-compliant Landlords, including notices to lenders if necessary.
  9. Obtain bids, award contracts, generate scopes of work, review quotes, and oversee work if Landlords fail to address defaults.
  10. Assist Landlords with maintenance requests and research customer complaints related to Landlord maintenance.
  11. Enter work orders related to store renewals, landscaping, pavement, exterior building, lighting, and re-lamping.
  12. Provide current conditions of Landlord responsibilities for real estate transactions like sales or refinancing.
  13. Manage requests for property changes, document and follow up for Landlord approval.
  14. Research site plans, GIS systems, and maps for legal descriptions and easements.
  15. Partner with Engineering and Construction to determine responsibilities and review past work.
  16. Collaborate with Energy Department on lighting upgrades, including negotiations.
  17. Coordinate with Operations on remodel work orders and re-grand openings.
  18. Work with Real Estate on capital improvements and lease modifications.
  19. Perform additional duties as needed to support business needs and company values.

Qualifications:

  1. Associate Degree in Business, Real Estate, Legal, or 3+ years' experience in related fields.
  2. 1 to 3 years of office experience.
  3. 1+ years retail experience.
  4. Excellent communication and interpersonal skills.
  5. Ability to understand lease language and documentation.
  6. Strong customer service skills.
  7. Proficiency in Microsoft Office (Word, Excel, Outlook).
  8. Understanding of commercial real estate industry.
  9. Knowledge of property maintenance, repairs, bidding, and negotiations.
  10. Working knowledge of CMMS and real estate record systems.
