The Administrator I, Landlord Services, is responsible for ensuring all ADUSA leased locations, approximately 1800+, are maintained efficiently and economically according to lease guidelines. This role involves following up on landlord approvals, managing emergency maintenance expenditures, and researching bill backs for tenant expense recovery related to landlord responsibilities.

Duties and Responsibilities:
  1. Analyze landlord maintenance and repair issues across all banners according to operational procedures and lease requirements.
  2. Prioritize and respond to emergency situations daily.
  3. Notify landlords of maintenance issues and follow up until resolution.
  4. Issue legal notices of default to landlords, lenders, and property managers for unresolved landlord responsibilities, as per lease terms.
  5. Verify completion of work with store managers and maintenance technicians before closing work orders.
  6. Review lease language, previous work orders, and document information in maintenance systems for future reference.
  7. Collaborate with Legal Department on escalated repair requests requiring legal action.
  8. Enforce self-help procedures, including notices and default letters, for landlords refusing repair obligations.
  9. Obtain bids, award contracts, and oversee work to address defaults or emergencies when landlords fail to act.
  10. Assist landlords with maintenance requests from tenants.
  11. Research and process customer complaints related to landlord maintenance.
  12. Enter work orders for landlord-responsible issues, including store renewals and exterior improvements.
  13. Provide real estate with current conditions for locations needing estoppel certificates for sale or refinance.
  14. Manage requests for property modifications, including documentation and landlord approvals.
  15. Research site plans, GIS, and maps for legal descriptions and easements.
  16. Partner with Engineering and Construction to determine responsibilities and previous work.
  17. Coordinate with Energy Department on lighting upgrades and negotiate costs.
  18. Work with Operations on remodels and re-grand openings.
  19. Collaborate with Real Estate on capital improvements and lease modifications.
  20. Perform additional duties as needed to support business needs and company values.
Qualifications:
  • Associate Degree in Business, Real Estate, Legal, or 3+ years' experience in related fields.
  • 1 to 3 years of office experience.
  • Over 1 year of retail experience.
  • Excellent communication and interpersonal skills.
  • Ability to understand lease language and documentation.
  • Strong customer service skills.
  • Proficient in Microsoft Office applications.
  • Knowledge of the commercial real estate industry, property maintenance, and contract negotiations.
  • Familiarity with CMMS and real estate record systems.
