LOCATION: NEWINGTON, CT. This is a fully in person role, not hybrid, not remote.

Position Summary

The Payroll Administrator is responsible for supporting the day-to-day administration of payroll, time and attendance, payroll taxes, employee benefits, and the company’s 401(k) plan. This position processes and reconciles payroll and benefit transactions, responds to employee inquiries, prepares reports, maintains documentation, and works with internal departments and external vendors to ensure accurate and timely administration.

The Payroll Administrator reports to the Payroll & Benefits Supervisor and provides support across payroll and benefits operations while maintaining a high level of accuracy, confidentiality, and customer service.

1. Payroll & Time and Attendance

  • Process payroll and time-and-attendance transactions in accordance with established schedules and procedures.
  • Review employee timecards, earnings, deductions, adjustments, bonuses, and other payroll transactions for accuracy.
  • Research and resolve payroll discrepancies in coordination with employees, supervisors, Human Resources, Accounting, and the Payroll & Benefits Supervisor.
  • Process payroll changes, corrections, off-cycle payments, and other adjustments as assigned.
  • Assist with payroll tax reconciliations and resolution of payroll tax issues.
  • Prepare recurring payroll reports and reconciliations.
  • Assist with year-end payroll activities, including W-2 reconciliation, taxable fringe benefits, bonuses, and other year-end adjustments.
  • Maintain payroll procedures and documentation.

2. Employee Benefits

  • Process employee benefit enrollments, changes, and terminations for medical, dental, vision, life, disability, and other benefit programs, as needed.
  • Work with employees, Human Resources, Accounting, benefit carriers, brokers, and vendors to resolve benefit discrepancies.
  • Respond to routine employee benefit questions and Escalate complex issues as appropriate.

3. 401(k) Administration

  • Process and reconcile employee and employer 401(k) transactions.
  • Review payroll contributions against recordkeeper information and research discrepancies.
  • Assist the Payroll & Benefits Supervisor with annual 401(k) audits, compliance activities, and year-end requirements.
  • Prepare payroll and benefit reconciliations and supporting documentation.
  • Assist with general-ledger reconciliations and investigate discrepancies.
  • Prepare recurring accounting and management reports.
  • Assist with month-end, quarter-end, and year-end payroll and benefit activities.

5. Employee Support & Administration

  • Respond to employee payroll, timekeeping, deduction, and benefit inquiries in a professional and timely manner.
  • Maintain confidential payroll and employee information.
  • Maintain accurate records and supporting documentation.
  • Provide backup support for other payroll and benefits team members.
  • Perform special projects and other related duties as assigned.

Education & Experience

Associate degree in Accounting, Business Administration, or a related field required; Bachelor’s degree preferred.

Qualifications

  • ADP Workforce Now experience strongly preferred.
  • Working knowledge of payroll processing, payroll taxes, and payroll accounting.
  • Experience administering employee benefits preferred.
  • Experience with 401(k) administration preferred.
  • Proficiency in Microsoft Excel and Word.
  • Strong reconciliation and analytical skills.
  • Excellent attention to detail and organizational skills.
  • Ability to meet strict payroll deadlines and manage multiple priorities.
  • Strong written and verbal communication skills.
  • Ability to maintain confidential employee and company information.
  • Strong customer-service and problem-solving skills.
