Job summary

Prince William County Government seeks an Administrative Technician to support the Parent Education program. You will handle registrations, inquiries, fee processing, and confirmations, while maintaining participant records and class logistics.

The role includes deposits, P-card duties, and routine reconciliations, with confidentiality and records-management duties. Work is part-time, Monday–Friday, 0.79 FTE with evening/weekend support as needed.

Qualifications

  • High school diploma or GED required.
  • Experience in administrative and customer-service support preferred.
  • Experience with registrations, schedules, and program records desired.
  • Experience handling payments, receipts, deposits, and procurement-card transactions preferred.
  • Experience reconciling accounts and investigating discrepancies preferred.
  • Microsoft 365 or equivalent, especially Outlook, Word, Excel; Teams/SharePoint desired.
  • Spanish language proficiency is a plus.

Responsibilities

  • Process registrations and inquiries; collect and receipt fees; send confirmations and reminders.
  • Maintain participant database, attendance, and class completion data; prepare certificates.
  • Prepare rosters, manage scheduling page, and support class logistics and communications.
  • Prepare deposits and coordinate verification; maintain records for P-card purchases.
  • Reconcile financial records and coordinate with Business Services and leadership.
  • Maintain confidentiality of records; organize SharePoint files and documentation.
  • Provide general admin support to the Program Manager and team; assist with events.

Job description

About This Role:

The Administrative Technician is a primary administrative contact for Parent Education participants, instructors, referral partners, and the public. The position works closely with the Parent Education Program Manager and program team to support day-to-day operations.

Key responsibilities include:
  • Process walk-in and electronic registrations; respond to routine telephone, email, and in-person inquiries; collect and receipt program fees; and send confirmations, reminders, and schedule changes
  • Maintain the participant database and registration system, including registration, attendance, and class-completion data, and prepare routine completion documentation and certificates
  • Prepare participant rosters and class surveys; maintain the Prince William County web scheduling page; and support class schedules, instructional materials, room arrangements, and routine program communications
  • Prepare most program deposits, maintain supporting records, and coordinate independent verification of deposits
  • Serve as the program procurement card (P-card) holder, make authorized purchases, maintain required documentation, and submit complete P-card records to VCE Business Services for allocation and subsequent approval
  • Reconcile assigned Parent Education financial records and accounts, research discrepancies, and coordinate follow-up with Business Services and program leadership
  • Maintain SharePoint files, spreadsheets, participant and class records, and other program documentation in accordance with confidentiality and records-management requirements
  • Provide general administrative support to the Program Manager and program team and occasional logistical support for evening or weekend program activities
Minimum Requirements:

High school diploma or G.E.D.

Preferences:
  • Two or more years of experience providing administrative and customer-service support in an office, educational, human-services, nonprofit, government, or similar environment
  • One or more years of experience managing registrations, schedules, participant or client records, or program databases
  • One or more years of experience handling payments, receipts, deposits, procurement-card transactions, purchasing documentation, or similar financial records
  • One or more years of experience reconciling accounts or financial transactions and researching or resolving discrepancies
  • Two or more years of experience using Microsoft 365 or comparable business applications in a professional setting, particularly Outlook, Word, and Excel; experience with Teams and SharePoint is desirable
  • Professional working or conversational proficiency in Spanish
Work Schedule:

Part-time benefitted, Monday through Friday. The current County position report lists the position at 0.79 FTE (1,540.5 annual hours). Specific daily hours will be established by the supervisor based on authorized position hours and program and office coverage needs. Occasional evening or weekend work may be required to support program activities.

Hiring Salary Range:

$24.50–$26.00 per hour
