Overview:
Vision Centric, Inc. is seeking a dedicated Administrative Support Specialist to provide full-time, onsite support to a government agency under the Office of Resource Management in Washington, D.C. The ideal candidate will be organized, professional, and proactive, with a strong ability to manage multiple administrative tasks in a fast-paced environment.
Key Responsibilities:
Serve as the first point of contact by screening incoming calls and visitors, determining purpose, and directing them appropriately.
Compile materials and organize information for leadership meetings and appointments.
Coordinate scheduling and logistics for meetings, conferences, and travel, including room booking, material preparation, and participant notification.
Track and distribute incoming correspondence and mail; maintain proper documentation and escalate items as needed.
Create and maintain filing systems; manage records and ensure compliance with office policies.
Support procurement processes by preparing purchase requests, managing office supplies, and processing requisitions.
Perform timekeeping and related personnel administrative tasks.
Maintain office operations, including coordination of IT and phone services, furniture, and space issues.
Prepare reports, presentations, and documents using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Forms).
Monitor and manage electronic communications, track action items, and ensure deadlines are met.
Invite and collect customer feedback via surveys to support service improvement.
Ensure all work products are accurate, clear, and free of grammatical errors.
Minimum Qualifications:
Associate’s Degree
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Forms)
Strong verbal and written communication skills
Detail-oriented with excellent time management and organizational abilities
Ability to obtain and maintain a Public Trust (Moderate Risk) clearance
