Job description

The Administrative Support Specialist plays a vital role in providing comprehensive administrative support to the Senior Program Administrator and Ergonomists. This position ensures the smooth operation of daily activities, manages key account tasks, and improves internal processes. The role is hybrid, requiring presence in the office 3 days per week.

Responsibilities

  1. Assist the Senior Program Administrator and Ergonomists with daily operations and account management tasks.
  2. Maintain activity trackers, manage employee communications, and support the preparation and review of client reports and order forms.
  3. Support virtual ergonomics certification programs, including handling new registrations, renewals, and updating events on the Humanscale website.
  4. Contribute to marketing efforts by updating customer databases and managing digital marketing platforms.
  5. Work with consulting staff to enhance internal procedures for better efficiency and service quality.
  6. Coordinate with departments such as accounting, customer care, and marketing to resolve billing issues and facilitate collaboration.

Qualifications

  • Strong organizational and prioritization skills
  • Demonstrated ability to collaborate effectively to achieve goals

  • Bachelor’s degree or equivalent experience
  • Experience in ergonomics or furniture industry is a plus

Computer Skills

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Knowledge of Adobe Creative Suite is advantageous
