DESCRIPTION

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). With a focus on innovation and customer satisfaction, RRSS aims to inclusively meet the diverse needs of the UC San Diego community while fostering a sense of belonging for our students and staff. As a member of the HDH team, you will be part of a self-funded unit with over 900 staff employees, 1,000 student employees, and an annual operating budget of $250 million, providing housing and dining services to over 20,000 students, faculty, staff, and their families. The Administrative Support Coordinator is responsible for the administration and maintenance of resident Meal Plan accounts, Triton Cash accounts, Conference Group cards, and special staff card groups. Maintain database of multiple Triton card accounts and audits for accuracy of data. Responsible for reconciliation of various accounts, reports, and ledgers. Produce reports for various managers as well as vendors under contract. Effectively communicate with students, parents, vendors, and managers with tact and diplomacy in customer service-oriented office. Provide a high level of administrative and technical support on a wide variety of customer and business issues.

QUALIFICATIONS
  • Knowledge of business math and general bookkeeping and procedures; accounts and payable and receivable.

  • Experience training co-workers and student staff on procedures and processes.

  • Demonstrated analytical skill to understand financial reports, budgets, and multiple financial details.

  • Experience as an Administrative Assistant.

  • Proven knowledge and skill of spreadsheet, word processing and data base management software applications, including Microsoft Word, Excel and Access.

  • Ability to construct queries, tables, and download results to Excel or Access for analysis and reporting.

  • Skill and knowledge of interpersonal relation skills, including the ability to communicate in a helpful, pleasant and informative manner to a wide variety of people, both in person and on the telephone. This includes relationships with staff and students.

  • Skill to organize a continuous flow of work in a timely manner and meet continuous, mandatory deadlines, yet maintain accuracy and neatness.

  • Knowledge and ability to maintain confidentiality of required records including account holder personal information and credit card numbers.

  • Skill to remain calm, efficient and patient under pressure while dealing effectively with a wide variety of people, with changing priorities, and with frequent interruptions.

  • Demonstrated broad technical knowledge and proficiency in Microsoft Suite products to prepare business correspondence, reports, and spreadsheets. Ability to adapt to learning new technology systems and programs and ability to apply technology to new processes.

SPECIAL CONDITIONS
  • Operating needs of the department require varied work schedules.

  • Background check clearance is required.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
