Job Description
The Department of Mathematics and Statistics at Auburn Universityis seeking candidates for the position of Administrative SupportAssociate. This position is an integral part of the staff and willprovide administrative and general clerical support within thedepartment. The person who will thrive in this role enjoysconnecting with people, collaborating with a team, and ensuringsmooth operation of an office environment.
Responsibilities
- Greet visitors and answer departmental phone calls.
- Serve as the primary front office contact for students,faculty, staff, and visitors.
- Coordinate textbook adoptions and desk copy requests, maintaintextbook information, and assist faculty with locating textbookresources and materials.
- Provide copier and printer support for faculty and staff toinclude maintaining supplies, coordinating maintenance, andtroubleshooting.
- Monitor, maintain, and order office supplies for thedepartment.
- Manage department mailbox assignments as well as incoming andoutgoing mail and package distributions.
- Submit and track Facilities Management work orders andmaintenance requests.
- Coordinate classroom and meeting room reservations forseminars, thesis defenses, exams, student organizations, anddepartmental meetings.
- Assist with departmental events, seminars, receptions,meetings, and other in-house events, including coordinating food,beverages, and room setup.
- Maintain departmental bulletin boards and remove outdatedmaterials.
- Assist with reimbursement processes and provide administrativesupport for departmental financial activities.
- Serve on departmental committees as assigned.
- Stay abreast of departmental, college, and university policiesand procedures as it relates to this position.
- Serve as a first point of contact for student inquiries,including front-line support for ALEKS Math Placement questions androutine placement processes; training provided.
- Other duties as assigned.
Qualifications
Level I:
- High School Diploma or GED and 2 years of experience inclerical and administrative support services.
Level II:
- High School Diploma or GED and 4 years of experience inclerical and administrative support services.
SUBSTITUTIONS ALLOWED FOR EXPERIENCE: Yes, When a candidate has therequired education, but lacks the required experience, they maynormally apply additional appropriate education toward theexperience requirement, at a rate of one (1) year relevanteducation per year of required experience.
