Responsibilities

  • Lead day-to-day management of the HawkSOAR website and ensure pages are updated per HawkSOAR committee.
  • Coordinate on-campus, remote and virtual logistics for retention-focused activities; arrange rooms, catering, materials, incentives.
  • Provide direct support to Onboarding Workgroup, Career & Transfer Office, and other First-Year Experience Workgroups; take notes and send reminders.
  • Act as a public relations presence for First Year Experience and assist with communication strategies (website, newsletter, brochure, video).
  • Provide administrative support for Title III grant activities, including workflow coordination, personnel transactions, and vendor communications.
  • Coordinate and schedule Zoom/teleconference interactions; assist in grant-related meetings and external visits.
  • Travel to all HACC locations as needed for Title III grant and divisional staff meetings; prepare and archive reports.
  • Maintain regular customer service to students, faculty, and college guests; perform other duties as assigned.

Job description

This position is 100% grant-funded and is subject to annual evaluation. The current grant funding is scheduled to end on September 30, 2028.

Job Summary: This position is responsible for providing administrative support to Title III grant activities and the Title III Activity Director. The incumbent is responsible for excellent customer service to students, faculty and guests. Other responsibilities include providing regular department or division support for Title III events or projects.

Minimum Qualifications:

H.S. Diploma or equivalent and 2 years related experience.*
*Or a combination of experience and education sufficient to successfully perform the essential duties of the job. Such as those listed above.

Licensing Requirements: Valid Driver's License

Hiring Range:$19.00 - $20.00

Preferred Qualifications: Comfortable with Microsoft Office Suite, Google sheets, and Zoom. Experience in Higher Education.

Job Specific Task List:

  • Act as a Lead of the day-to-day management of the HawkSOAR website.- (Essential)
    • Ensure that all pages/facets of this website are reviewed and updated in a timely fashion as per the dictates of the HawkSOAR committee.
    • Review and proof all content on the website, ensuring the content meets the desired standards of the HawkSOAR committee.
    • Act as a lead for the HawkSOAR Google Site Management Team.
  • Act as Logistical lead and also participate in new student focus groups/class visits related to retention and the First Year Experience; specific attention can be paid to Fall-to-Fall retention and Fall-to-Spring retention.- (Essential)
    • Coordinate all on-campus, remote and virtual logistics
      • These include, but are not limited to, room reservations, catering, room set-up and take-down, creation and distribution of materials, and arranging for incentives.
    • Coordinate all communication related to the activity.
    • Participate in Focus Groups/Class Visits in some capacity outside of running the groups and/or analyzing the data. Recording and/or transcription are possible duties.
    • Assist, if needed, in running the groups or analyzing the data.
  • Provide Direct Support to the Onboarding Workgroup, Career & Transfer Office and other newly formed Workgroups associated with the First-Year Experience.- (Essential)
    • Taking notes and recording attendance.
    • Send weekly reminders to colleagues to complete their report-outs.
    • Assist in coordinating all major planning meetings to implement changes.
    • Follow‑up after all major planning meetings to implement changes.
  • Act as a public relations presence for First Year Experience and its Director and assist with future communication strategies including but not limited to assisting to maintain communication pieces such as a website, newsletter, brochure and video. - (Essential)
  • Act as a support, if needed, collegewide for First-Year seminar activities.- (Essential)
  • Facilitate and provide direct Support to First-Year Experience as well as Career & Transfer related programs, including Level Up & Smart Smart. - (Essential)
    • Specific to Level Up, attend events, both on-campus and remote, and learn to master all of the differing roles and responsibilities in order to ensure coverage flexibility. -
  • Attend meetings relating to Title III grant related activities. These include, but are not limited to grant staff meetings, First-Year Experience Meetings, Learning & Development meetings, Advising Meetings, and Ellucian Product meetings. - (Essential)
  • Provide overall and day-to-day administrative support to Title III grant activities and the Title III Activity Director as well as periodic department or division support for Title III events or projects. - (Essential)
  • Provide administrative support and coordination of workflow in the Title III grant; complete employee paperwork such as personnel transactions, technology requests, purchase orders and others; communicate with institutional stakeholders and vendors, regarding inquiries, requests or trouble shooting. - (Essential)
  • Facilitate, coordinate, and schedule interactions either in person or through telecommunication technology, for example Zoom, including training sessions, travel related logistics, grant activity related meetings, and external evaluator and/or other external stakeholder visits. - (Essential)
  • Provide administrative and organizational support, when requested, for assessment and program review projects as well as operational planning documents using various applications such as MS Office and Google Docs - (Essential)
  • Travel to all HACC locations as needed to participate in group and individual meetings with Title III grant and/or divisional staff. - (Essential)
