Posting Context Statement: Under the direction of the Parking and Transportation ServicesLead, the Administrative Specialist II provides day-to-day parkingoffice operation assistance and customer service. The positionassists the university community and the general public via phone,email and in-person by interpreting and explaining parking rulesunder constant revision and related financial records while usingjudgement and discretion in a wide variety of situations.

Position Overview: The position provides a wide range of operational support tovisitors, students and employees, navigating a variety ofadministrative processes, procedures and cyclical calendars ofactivities critical to the operation of the unit within the broaderuniversity. The primary responsibility is to serve asadministrative process expert and coordinator. The position mayserve as first point of contact for the department while alsoperforming administrative functions such as researching informationand solving problems for faculty, staff and students, and providingprogram and/or event assistance.

Duties may include:

  • Compose, proofread, edit and distribute a variety of businessdocuments and routine reports
  • Maintain schedules and event calendars
  • Coordinate logistics for regular travel and meetings
  • Collect and organize data, enter information into variouselectronic systems in accordance with university or departmentprocedure to ensure accuracy and compliance, validate informationand resolve conflicts in data
  • Review internal operating procedures and practices to determinewhether improvements can be made in areas such as workflow andrecords management
  • Greet office visitors and respond to incoming calls and emailcorrespondence. Provide information about office services andprocesses, redirect inquiries to appropriateoffices/individuals
  • Manage inventory
  • Other duties as assigned

Required Experience:

  • One year performing office support functions such as documentor records management, composing or editing and formatting businessdocuments, reception and/or customer service
  • Using computer software and applications for word processing,spreadsheets, email and internet research
  • Balancing a workload of assigned tasks to meet multipledeadlines

Required Education:

  • High School Diploma or equivalent

Additional Preferred:

  • Experience with the University of Idaho, Banner and MS Officeexperience, conflict resolution, meeting tight deadlines, projectflexibility, filing systems and inventory systems
  • Demonstrated ability to type letters, labels and lists; createbasic graphics in MS Word; communicate effectively both verbal andwritten; ability to deal with aggressive and confrontationalcustomers in a professional manner
  • Ability and willingness to acquire an understanding of parkingregulations and policies
