Job summary

Ohio University Administrative Services Associate is responsible for supporting campus administrative and academic functions, including testing center monitoring, cashiering, scheduling, and event coordination. The role requires teamwork across Student Services and may involve after-hours coverage and campus-wide collaboration.

The position is Lancaster Campus-based, with a 40-hour work week, and requires a high school diploma or GED with at least 2 years of related experience.

Qualifications

  • Minimum Qualifications: Knowledge of standard administrative procedures and practices, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and a minimum of 2 years related experience.
  • Preferred Qualifications: Knowledge, certifications, and licensure will apply at the position level.

Responsibilities

  • May supervise or oversee the work of student employees.
  • Represents an office as administrative liaison. Responds to non-routine inquiries requiring technical and/or University or unit knowledge.
  • Utilizes department and/or University policies, practices, and procedures to answer questions and resolve problems and issues.
  • Coordinates special events that require judgment in determining and prioritizing activities to meet desired results.
  • Coordinates complex appointments, meetings, and travel itineraries. Triages scheduling issues.
  • Edits documents and presentations. Composes basic correspondence. Types and coordinates class materials.
  • Performs a variety of administrative duties regarding academic class scheduling and/or student academic records and/or reports. Duties may include activities such as updating student records, registering students in courses, entering courses into PeopleSoft and assigning classrooms.
  • Coordinates mass mailing and/or email distribution.
  • Creates and oversees departmental files, databases, and reports.
  • Maintains office and/or laboratory supplies and inventory.
  • Maintains website.
  • Sets up accounts, tracks budgets, reconciles accounting statements, and follows up on discrepancies. Prepares purchasing and accounting forms for approval. Processes expenses.

Job description

Administrative Services Associate

The Administrative Services Associate provides support for administrative and academic functions for the campus.

This position is being posted internally and to the public simultaneously in order to expedite the posting process. However, current Ohio University AFSCME 3200 employees will be considered first.

  • Serve as testing center monitor and observer: Provide support and customer service to faculty and students who need assistance scheduling an exam through the university tool. Monitors and observes exams ensuring alignment with university expectations and national best practices. Enter campus testing center schedule in university tool in alignment with semester schedule meeting the needs of the campus and Regional Higher Education (RHE). Train peers and/or student employees to monitor and observe exams, ensuring standards and expectations are understood.
  • Provide customer service to faculty, staff, students and campus visitors. May schedule appointments and provide general administrative support for Student Services staff. Serve as primary cashier, process payments, and make bank deposits. Provide general administrative support for campus events and activities.
  • Provide backup/coverage in other areas on campus as needed such as Faculty and Staff Support, distance education cross campus system (OULN) and Theater.
  • Collaborate as an integrated member of the campus in campus meetings, programs, activities and event. Other duties as assigned.

This position requires the successful candidate to work on the Lancaster Campus during business hours and employment is contingent upon the successful completion of a criminal background check.

Minimum Qualifications: Knowledge of standard administrative procedures and practices, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and a minimum of 2 years related experience. An equivalent combination of education, training, and experience is acceptable.

Preferred Qualifications: Knowledge, certifications, and licensure will apply at the position level.

Pay Rate: The hourly rate starts at $14.65. The final offer will be commensurate with the candidate’s education and experience in relation to the minimum qualifications for the position. Pay is accompanied by Ohio University’s generous benefits package, which includes:
