Brief Description

The Administrative Security Coordinator provides support to the Facility Security Officer (FSO), Project Managers, Superintendents, and other key personnel. They are responsible for coordinating security access to multiple job sites accurately and timely, processing security issues for the General Contractor, Subcontractors, Suppliers, and Vendors, enabling project access. The role has potential for evolution.

Work Hours

The standard work hours are from 8 AM to 5 PM, including a one-hour lunch break. Punctuality and productivity are expected.

Requirements

Practical Experience

  • At least one year of administrative experience in a mid to large organization supporting multiple functions/departments.

Technical Qualifications or Certifications

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with internet research and office equipment like copiers, fax, postage machines

Preferred Education & Experience

  • Associate or bachelor’s degree preferred but not required
  • Experience with secure building administration
  • Construction experience highly preferred

Knowledge, Skills & Abilities

  • Knowledge of project management software (Procore, SharePoint)
  • Strong organizational and communication skills
  • Sense of urgency, ability to work under stress, multi-task, and handle multiple projects with different security requirements
  • Ability to work independently and maintain confidentiality

Security Clearance

  • Must be a US Citizen
  • Willing to obtain TS/SCI clearance after 60 days of employment

Responsibilities

Security Tasks

  • Manage access to job sites, process badge, visit, and vehicle access requests
  • Maintain security logs, manage PII, and ensure data security
  • Communicate effectively with all stakeholders and provide weekly status reports

Operational & Administrative Support

  • Support management and project teams with document management, audits, and filing
  • Develop and maintain contact lists and security documentation
  • Assist with general administrative tasks like correspondence, reports, and presentations

Other Duties

  • Escort visitors and shredding services as needed
  • Perform additional duties as assigned
