About Us:

We are a custom residential construction company dedicated to delivering high-quality homes and exceptional service. We are seeking a highly organized and detail-oriented Project Coordinator to support our project management and administrative operations. This role is integral to ensuring the smooth execution of our construction projects and the day-to-day functioning of our office.

Position Summary:

The Project Coordinator will assist in managing project workflows, coordinating with subcontractors, supporting accounting processes, and maintaining organized systems for communication and documentation. You’ll play a key role in keeping projects on track and ensuring our team is set up for success.

Key Responsibilities:

Project Management Support:

  • Maintain internal project tracker
  • Draft and distribute agenda emails
  • Take and organize meeting notes
  • Assist with project organization in Fellow App
  • Prepare and manage bid packages via Buildertrend (BT)
  • Track to-do lists and follow-ups in BT

Accounting & Admin:

  • Manage autopayments and deposits
  • Collect W-9s and Certificates of Insurance (COIs)
  • Prepare and track subcontractor agreements
  • Maintain purchasing documentation
  • Process invoices and credit card transactions
  • Coordinate credit applications and vendor terms
  • Organize and distribute checks

File & Document Management:

  • Maintain organized file systems in Google Drive and Buildertrend

Buildertrend Coordination:

  • Input project information
  • Provide internal support on Buildertrend how-to's and training

Office Management:

  • Order office supplies from Office Depot and Amazon
  • Handle postage and FedEx shipping needs

Qualifications:

  • Experience in construction, project coordination, or administrative roles (preferred)
  • Strong organizational and communication skills
  • Comfortable using Buildertrend, Google Drive, and project management tools
  • Basic knowledge of accounting procedures
  • Proficient with Microsoft Office and digital communication tools
  • Self-starter with strong attention to detail

Compensation:
Salary $55K - $65K - Commensurate with experience and includes yearly end of year bonuses and opportunities for growth.
