Sarasota Window Blinds – A Growing Home Improvement Company

Sarasota, FL

Full-Time | Monday–Friday | 8:00 AM–5:00 PM

Salary: $37,500–$50,000 per year, based on experience

Sarasota Window Blinds is a growing local home improvement company looking for a friendly, organized, technology-comfortableAdministrative & Operations Coordinator to join our team.

This is a hands‑on position with a lot of variety. You’ll help with customer communication, scheduling, project coordination, order processing, office organization, marketing, and other day‑to‑day needs of the business.

We do not expect someone to walk in knowing every aspect of the position on day one. We will provide training on our products, systems, processes, and industry. As you learn the business, we’ll work together to determine responsibilities that best match your strengths and the needs of our growing company.

We’re looking for someone who is dependable, enjoys helping people, learns quickly, and likes being part of a team where everyone is willing to pitch in.

What You’ll Help With
  • Answer incoming calls and greet customers and visitors.
  • Respond to customer inquiries by phone, email, text, website, and other communication channels.
  • Help schedule consultations, measurements, installations, and service appointments.
  • Confirm appointments and communicate scheduling updates.
  • Follow up with customers regarding quotes, orders, installations, and service needs.
  • Help provide a positive customer experience from the initial inquiry through project completion.
Quotes, Orders & Project Coordination

As you become familiar with our products and systems, you will be trained to:

  • Prepare and update customer quotes and estimates.
  • Enter customer and project information into company systems.
  • Assist with processing and tracking orders.
  • Review project information for accuracy.
  • Help coordinate projects from order through installation.
  • Maintain organized customer and project records.
  • Communicate with vendors and manufacturers regarding order status, shipping, and product availability.
Products & Inventory
  • Receive incoming products and shipments.
  • Help verify and organize products for upcoming installations.
  • Maintain organized inventory and product records.
  • Report damaged, incorrect, or missing products.
  • Keep samples, displays, brochures, and product materials organized.

We enjoy using technology to make our company more efficient and would love someone who is comfortable learning new systems.

Depending on your experience and interests, you may help:
  • Maintain information in our CRM, scheduling, quoting, and project-management systems.
  • Use AI tools such as ChatGPT to improve productivity and organization.
  • Create templates, checklists, and simple processes that make everyone's job easier.
  • Identify opportunities to simplify repetitive administrative work.
  • Help us explore new technology and systems as the company grows.
Marketing & Social Media

Depending on your experience and interests, you may also assist with:

  • Facebook and Instagram content.
  • Photos and videos of products and completed projects.
  • Basic Canva graphics, posts, reels, and stories.
  • Customer reviews and online inquiries.
  • Website or email marketing updates.
  • Bringing new marketing and content ideas to the team.
General Office Support

Everyone on our team helps maintain a professional, welcoming environment.

This may include:
  • Keeping the office, showroom, samples, and customer areas organized.
  • Restocking office and customer supplies.
  • Helping keep inventory and storage areas organized.
  • Light tidying as needed throughout the day.
  • Assisting with administrative paperwork and documentation.

Physical Requirements

Because we receive window treatments and other products at our location, this position may occasionally require:

  • Receiving and organizing packages and products.
  • Moving throughout the office, showroom, and storage areas.
  • Lifting or moving products weighing up to approximately 50 pounds.

Team members can assist with larger or more difficult items when appropriate.
