JN Money Services USA Inc. is seeking to recruit a qualified Administrative Officer. The Administrative Officer is responsible for activities that ensure operational effectiveness and daily functionalities. The Admin Coordinator will manage report generation on assigned projects and make recommendations to improve operational efficiency. Responsibilities include, but are not limited to, file maintenance, correspondence, agent communications, event planning and coordination, research, and analysis.

KEY RESPONSIBILITIES

  • Assist Regional Managers in preparing various reports as directed.
  • Maintain year-to-date management reports for the Northeast (NE) and Southeast (SE) regions.
  • Prepare and submit monthly transaction and event reports to the Marketing Department.
  • Assist with the setup, coordination, and execution of events.
  • Provide monthly reports on teller discrepancies.
  • Complete business tax licenses for SE Region states.
  • Prepare bi-weekly timesheets for staff and submit them for payroll processing.
  • Manage the EPX platform for the USA market, including ordering card machines, managing user access, reviewing chargebacks, responding to missing receipts, and facilitating refunds and voids.
  • Handle procurement and setup/takedown of marketing and branding materials.
  • Maintain inventory of marketing materials and update or replace as needed.
  • Ensure branches are stocked with necessary supplies.
  • Assist with office supplies procurement.
  • Periodically collect report boxes from branches for offsite storage.
  • Prepare and oversee monthly teller schedules and make adjustments as needed.
  • Monitor and manage staff vacation, sick, and rollover days in OrangeHRM.
  • Assist in recruiting and interviewing for teller vacancies in the SE Region.
  • Provide backup for tellers and accounts payable.
  • Provide additional operational support as needed.
  • Maintain effective communication within departments and the organization.
  • Promote teamwork and set a positive example.
Requirements

QUALIFICATIONS & EXPERIENCE

  • Bachelor's Degree in Business Administration, Management, or a related field.
  • Minimum of three (3) years' experience in a relevant role.
  • Experience in sales management, training, analytical skills, and team building.
  • Must be eligible to work in the US.
