Job summary

Watershed College seeks a Finance & Administration professional to maintain accurate financial and payroll records and to manage HR-related processes. The role involves supervising administration, coordinating events, and ensuring compliant, confidential handling of sensitive material.

The ideal candidate has an HR/Administration degree (IPMZ a plus), strong Excel/Word skills, and at least 5 years of leadership experience.

Qualifications

  • Higher National Diploma/Degree in HRM & Admin with IPMZ Diploma.
  • Advanced PC skills including Excel and Word; Access and PowerPoint preferred.
  • Good analytical skills.
  • Excellent time management and ability to multi-task.
  • Flexibility to adapt to changing priorities and hours.
  • Willing to work outside normal hours including weekends when necessary.
  • 5+ years of relevant work experience.
  • Experience in a similar environment is advantageous.

Responsibilities

  • Supervise administration and HR activities to achieve College goals.
  • Prepare and maintain payroll records and respond to HR inquiries.
  • Reconcile payroll creditor accounts and maintain creditors schedules.
  • Coordinate Works Council meetings and related events; record minutes.
  • Prepare weekly and monthly financial reports for the Parents Association (if applicable).
  • Participate in monthly/year-end stock counts.
  • Handle confidential information with discretion.

Job description

REPORT TO: Finance & Administration Manager
PURPOSE OF THE JOB:

To maintain accurate financial and payroll records and efficient management of Human Resources related concerns. The person superintends administration and human resources management policies to ensure procedures are effectively implemented and complied with. Supports staff and employees through a variety of tasks related to organization, administration and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate to ensure the assigned duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Essential Duties And Responsiblilites
  • Supervise administration and human resources activities to achieve overall College goals.
  • Preparation and maintenance of all non-teaching/sports coaches/administrative human resources records, input employee data and maintain employee files as well as respond to employee inquiries about human resources issues.
  • Prepare, reconcile and maintain payroll records.
  • Reconcile payroll creditor accounts and prepare updated monthly creditors schedules: outstanding creditors report, age analysis report, etc.
  • Coordinates works council meetings (school, farm and dairy) and various events as well as producing meeting agendas and recording of the minutes.
  • Familiar with the Labour Act.
  • Processing and reconciliation of Parents’ Association accounts and administration.
  • Prepare weekly and monthly financial reports for the Parents Association.
  • Participate in monthly and year end stock counts.
  • Any other duties assigned.
Education And Experience
  • Higher National Diploma/Degree in Human Resources Management and Administration with a relevant professional qualification such as Institute of People Management of Zimbabwe (IPMZ) Diploma. An accounting qualification is an added advantage.
  • Advanced PC skills are required including Excel and Word; Access and PowerPoint are preferred.
  • Good analytical skills are required.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Flexibility and adaptability to changing priorities.
  • Willing to work outside working hours including weekends when necessary.
  • Demonstrated work experience of 5 years and above.
  • Experience of working in a similar environment would be an added advantage.
