Job summary

Global Community Charter School is seeking a detail-oriented Human Resources & Finance Associate to support payroll, benefits, HR administration and basic finance tasks. This part-time role requires who can manage deadlines with confidentiality and coordination across onboarding/offboarding, invoicing and vendor communications.

The position offers four days of remote work and one day on-site, with potential for extra hours during payroll weeks.

Qualifications

  • Prior experience in human resources, payroll, finance, bookkeeping, business administration or a related administrative role.
  • Experience working in a charter school or nonprofit organization preferred.
  • Experience processing payroll strongly preferred.
  • Experience with benefits administration, accounts payable or employee onboarding preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple recurring deadlines and prioritize work independently.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and Google Workspace, particularly spreadsheets.
  • Ability to learn payroll, HRIS, accounting and benefits systems.
  • Discretion handling confidential information.

Responsibilities

  • Manage and process bi-weekly payroll in accordance with established payroll deadlines.
  • Review payroll information for accuracy and process employee changes, including new hires, terminations, compensation changes, deductions and other payroll updates.
  • Serve as the primary point of contact for routine employee payroll and benefits questions and assist with resolving discrepancies.
  • Maintain accurate payroll records and supporting documentation.
  • Reconcile monthly benefit carrier invoices and identify discrepancies requiring follow‑up.
  • Coordinate employee benefit enrollments, changes and terminations.
  • Support and help coordinate the annual open enrollment process.
  • Assist with year‑end payroll and benefits activities, including W‑2 and 1099 distribution.
  • Create and maintain confidential personnel files and employee records.
  • Process new employees in HR/payroll systems and prepare required new‑hire documentation.
  • Coordinate onboarding and offboarding administrative components.
  • Post approved job openings and support recruitment processes.
  • Assist with offer letters and employment agreements using templates.
  • Maintain HR trackers and compliance documentation.
  • Track deadlines and required employee documentation and follow up to ensure timely completion.

  • Provide administrative support related to employee leave, workers' compensation and other HR processes.
  • Support annual and periodic HR compliance activities and special projects.

Position Summary

Global Community Charter School is seeking a detail-oriented and highly organized Human Resources & Finance Associate to provide day-to-day administrative and operational support across the school's human resources, payroll, benefits, and finance functions.

The Human Resources & Finance Associate is responsible for ensuring that essential employee and financial processes are completed accurately, timely, and confidentially. This is a hands‑on administrative role with significant responsibility for payroll processing, benefits administration, employee records, onboarding and offboarding, accounts payable support, and compliance documentation.

The ideal candidate is dependable, highly attentive to detail, comfortable working with confidential information, and able to independently manage recurring deadlines within a part-time schedule - 7:15 am - 11:15 am, Monday - Friday. Must be able to work up to three additional hours on the weeks payroll is due. Four days remote work, and one day on‑site is required.

Key Responsibilities

Payroll & Benefits

  • Manage and process bi-weekly payroll in accordance with established payroll deadlines.
  • Review payroll information for accuracy and process employee changes, including new hires, terminations, compensation changes, deductions and other payroll updates.
  • Serve as the primary point of contact for routine employee payroll and benefits questions and assist with resolving discrepancies.
  • Maintain accurate payroll records and supporting documentation.
  • Reconcile monthly benefit carrier invoices and identify discrepancies requiring follow‑up.
  • Serve as the primary administrative contact for benefit carriers and vendors.
  • Coordinate employee benefit enrollments, changes and terminations.
  • Support and help coordinate the annual open enrollment process.
  • Assist with year‑end payroll and benefits activities, including W‑2 and 1099 distribution.

Human Resources Administration

  • Create and maintain accurate and confidential personnel files and employee records.
  • Process new employees in applicable HR/payroll systems and prepare required new‑hire documentation.
  • Coordinate the administrative components of employee onboarding and offboarding.
  • Post approved job openings and support the recruitment process, including applicant tracking, interview scheduling and candidate communication as needed.
  • Assist with preparing offer letters, employment agreements / contracts, and other employment‑related correspondence using approved templates.
  • Maintain HR trackers, employee data, required forms and compliance documentation.
  • Track deadlines and required employee documentation and follow up to ensure timely completion.
  • Coordinate with outside HR support, benefits providers, payroll providers and other partners as needed.
  • Provide administrative support related to employee leave, workers' compensation and other HR processes, including maintaining documentation and coordinating required forms.
  • Support annual and periodic HR compliance activities and special projects.

Finance & Accounting Support

  • Support accounts payable and accounts receivable processes.
  • Process invoices, employee reimbursements and other approved payments.
  • Maintain organized financial documentation and electronic filing systems.
  • Assist with basic bookkeeping and reconciliation activities.
  • Support monthly financial processes by preparing documentation, reports and reconciliations as requested.
  • Coordinate with finance vendors and other external partners to obtain required information and resolve routine administrative matters.
  • Assist with year‑end financial and compliance documentation as needed.

General Administrative Responsibilities

  • Maintain strict confidentiality regarding employee, payroll, benefits and financial information.
  • Maintain organized records and documentation that are readily available for audits, reporting and compliance reviews.
  • Communicate professionally and promptly with employees, vendors and external partners.
  • Manage recurring deadlines independently and elevate issues requiring leadership, HR or financial review.
  • Perform other related HR and finance administrative duties as assigned.
Experience and Qualifications:
  • Prior experience in human resources, payroll, finance, bookkeeping, business administration or a related administrative role.
  • Experience working in a charter school or other nonprofit organization, preferred.
