YogaSix Main Line & Glen Mills

About the Role
YogaSix Main Line & Glen Mills are seeking a highly organized, proactive, and trustworthy Administrative & Executive Assistant to provide direct support to the owner of both studios.
You will help manage the many administrative details that come with operating two growing businesses; from scheduling and email organization to vendor follow-up, recruiting coordination, purchasing, reporting, projects, and keeping track of important deadlines and commitments.
The ideal person is someone who naturally thinks ahead, stays organized, and follows through.
This is not a traditional receptionist role. We are looking for someone who can become a trusted extension of the owner; someone who can take a task, figure out the next steps, and see it through to completion.
Key Responsibilities
Executive & Owner Support
- Help manage and organize the owner's calendar, meetings, appointments, and commitments
- Maintain a master list of outstanding tasks, projects, deadlines, and follow-ups
- Keep track of commitments made by the owner and ensure important items don't fall through the cracks
- Prepare agendas, notes, documents, and materials for meetings
- Follow up on action items after meetings and conversations
- Help organize the owner's email and identify items requiring attention, follow-up, or delegation
- Coordinate scheduling with employees, vendors, candidates, business partners, and other contacts
- Research information and prepare summaries or recommendations for the owner when needed
- Maintain organized digital files and business documents
- Help the owner stay ahead of important dates, renewals, deadlines, appointments, and recurring responsibilities
- Provide a simple weekly update to the owner outlining completed items, outstanding items, upcoming deadlines, and anything requiring attention
Vendor & Business Coordination
- Serve as a point of contact for routine vendor communication
- Schedule repairs, maintenance, cleaning, inspections, deliveries, and service appointments
- Request quotes and gather information from vendors
- Follow up with vendors on outstanding issues and incomplete work
- Maintain an organized list of vendors, contacts, contracts, and recurring services
- Track contract and service renewal dates
- Coordinate routine purchasing and ordering of studio supplies
- Escalate larger expenses, contracts, or business decisions to the owner for approval
Recruiting & HR Administration
- Manage administrative aspects of recruiting, including job postings and applicant tracking
- Assist with onboarding paperwork and new-hire organization
- Track employee certifications, training requirements, and expiration dates
- Track employee anniversaries and other important employee dates
- Assist with employee offboarding administration
- Maintain organized employee records and HR documentation
- Help the owner stay on top of staffing-related administrative deadlines
Business Reporting & Organization
- Gather routine information and reports from the studios
- Maintain spreadsheets and business trackers
- Organize membership, sales, attendance, lead, and other operational information as requested
- Prepare information for the owner's weekly or monthly business reviews
- Keep important business information organized and easy to access
- Identify missing information or outstanding items that require follow-up
Project & Follow-Up Management
- Help the owner move projects from idea → plan → completion
- Create simple timelines, checklists, and task lists for projectsFollow up with the appropriate person when something is overdue
- Keep track of multiple projects simultaneously
- Identify potential roadblocks and bring them to the owner's attention
- Provide regular status updates without requiring the owner to ask
- Take ownership of administrative projects from start to finish

Hours & Schedule
- Approximately 15 hours per week
- Ideally 3 hours per day, Monday–Friday
- Some flexibility in scheduling
- Primarily remote/administrative work with occasional needs at the studios
- Occasional availability outside of normal hours may be helpful for time-sensitive matter
