JOB PURPOSE:

The purpose of this position is to perform a variety of advanced office/administrative support duties that require thorough knowledge of a function or functions within a department or work unit. Under general supervision, with direction received from the Senior Associate Dean of Academic Affairs or Dean of the College of Medicine, and department supervisor or manager. Performs varied and responsible secretarial, office management, and administrative work, involving responsibility, complexity, and variety. Controls workflow and established office procedures in support of the Office of Academic Affairs. Uses independent judgment and initiative in carrying out regular assignments in accordance with established policies and procedures. This position may be responsible for monitoring business affairs and interpreting policy and procedures. This position serves as the liaison between the College of Medicine Departments, Hospital, and other divisions within the University. Reports directly to the Senior Associate Dean of Academic Affairs.

NATURE AND SCOPE:

Interacts with internal and external contacts including but not limited to administrators, faculty, students, staff of various departments in the University, the project manager, and vendors.

PRINCIPAL ACCOUNTABILITIES:
  • Controls the workflow of the office. Implements office procedures and practices. Relays directions from supervisor to coordinate administrative procedures for the Office of Academic Affairs, departments, and/or among other offices.
  • Monitors programs in the Office of Academic Affairs, including the (VSLO) Visiting Student Application Service (VSAS) and Global Health Learning Opportunities (GHLO), Student Affiliation Agreements, student orientations, and various awards programs and events, along with other committees and items.
  • Interfaces with Faculty Leadership Programs, faculty and alumni, faculty fellows, graduate, and professional students, as well as COM administrators, deans, faculty, managers, supervisors, and department chairs.
  • Prioritizes workload to meet work unit operations
  • Works with the Senior Associate Dean of Academic Affairs to prepare confidential correspondence and reports. Determines and makes needed corrections to produce error-free final copy. Assembles data and composes a variety of correspondence for the department.
  • Uses automation to schedule and track appointments, events, deadlines, and other pending matters. Participates in meetings and conferences pertinent to area of responsibility.
  • Perform other job-related duties as assigned.

MINIMUM REQUIREMENTS:
  • AA/AS may be substituted for 4 years of required work experience.
  • BA/BS may be substituted for up to 4 years of work experience.
Compliance Salary Range Disclosure Expected Pay Range:

$50,000 - $55,000
