Job summary

The Chamber of Manitowoc County is seeking an Administrative Coordinator to perform front office duties such as visitor reception and information, correspondence, meeting coordination, and member phone calls. The role partners with the Executive Director on membership recruitment and retention efforts.

This is a Part-Time, hourly (non-exempt) position based in Manitowoc, WI, offering a 27.5 hour work week (Mon-Fri 9:00 a.m.–2:30 p.m.) and a compensation range of $18.00–$23.00 per hour, with paid

Qualifications

  • High school diploma or equivalent required; business classes and/or college or technical training a plus.
  • At least one year of administrative support experience preferred.
  • Excellent communication and proofreading skills are required.

Responsibilities

  • Coordinate front office duties including greeting visitors, answering and transferring phone calls, scheduling appointments, Chamber Bucks Sales and delivery, and errands as needed.
  • Professionally and courteously answer member and/or public inquiries.
  • Schedule and plan meetings or appointments and manage master calendar through membership software.
  • Work in collaboration with the Executive Director on membership recruitment and retention efforts.
  • Provide administrative support to Chamber Bucks program and buildings/grounds needs.
  • Write/edit business correspondence, including proofreading of written materials.
  • Assist with email marketing and member communications, including preparing, proofreading, scheduling, and distributing newsletters, announcements, and other electronic communications using established platforms.

Position Overview

The Administrative Coordinator will perform a variety of front office duties such as visitor reception and information, correspondence, meeting coordination, member phone calls, meeting minutes, errands and other duties as assigned. Administrative Coordinator will work in collaboration with the Executive Director on membership recruitment and retention efforts.

Qualifications
  • High school diploma or equivalent required; business classes and/or college or technical training a plus.
  • Demonstrated experience in and administrative support capacity, with at least one year of comprehensive office experience preferred.
  • Excellent communication skills, including the ability to speak and write clearly and accurately. Proofreading skills also required.
  • Ability to provide excellent customer service.
  • Excellent time management and organizational skills, including the ability to organize and perform multiple tasks quickly and accurately.
  • Ability to perform basic accounting tasks, including accounts payable and receivables entries and weekly deposit preparations. Cash handling experience preferred.
  • Proficient in Microsoft Office.
  • Basic working knowledge of QuickBooks Online, or the ability and willingness to learn QuickBooks Online.

  • Supports critical Chamber Strategic Initiatives and ensures that direction follows strategic plans, budgetary guidelines, and quality expectations of Executive Director and Board of Directors.
  • Recommend improvements to work methods or procedures.
  • Performs a myriad of other duties as requested or required.
Other Requirements
  • Ability to work a flexible schedule to accommodate activities/functions outside of established workday.
  • Reliable transportation.
  • Ability to lift up to 25 pounds occasionally.

Schedule: Monday–Friday, 9:00 a.m. – 2:30 p.m. (27.5 hours per week)
