Lillian James Creative is looking for an Administrative & Client Relations Manager to help manage client communication, internal coordination, scheduling, follow-up, and day-to-day administrative needs in a fast-paced setting.

Administrative & Client Relations Manager

Lillian James Creative is looking for a highly organized, proactive Administrative & Client Relations Manager to help manage client communication, internal coordination, scheduling, follow-up, and day-to-day administrative needs.

This role is ideal for someone who thrives in a fast-paced environment, communicates exceptionally well, and naturally takes ownership of what needs to happen next.

You’ll work closely with the owner while also communicating directly with clients, prospects, vendors, and internal team members. You’ll help manage multiple inboxes, keep projects moving, coordinate schedules, track outstanding items, and make sure important details and follow-ups do not fall through the cracks.

This is not a role for someone who needs a detailed to-do list every day. We need someone who can look at what is happening, identify what needs attention, and take initiative to get it handled.

What You’ll Do
Client Communication & Relations
  • Serve as a day-to-day point of contact for clients
  • Respond to routine client questions and requests
  • Draft and send client emails on behalf of the owner when appropriate
  • Follow up with clients for approvals, information, content, documents, scheduling, and outstanding items
  • Provide clients with updates on projects, timelines, and next steps
  • Make sure client questions and requests are routed to the appropriate team member
  • Help maintain strong, responsive, and professional client relationships
  • Identify client concerns or issues and make sure they are addressed quickly
  • Help coordinate client onboarding and offboarding
  • Schedule client meetings, strategy calls, video shoots, webinars, and other appointments
Administrative Support
  • Help manage and organize multiple email inboxes
  • Flag important messages and identify what requires immediate attention
  • Draft responses and handle routine correspondence
  • Manage calendars, meetings, and scheduling
  • Help organize the owner’s priorities and daily follow-up items
  • Prepare documents, meeting notes, agendas, and internal updates
  • Maintain organized files, client information, spreadsheets, and records
  • Assist with day-to-day administrative and operational needsCoordinate with vendors, partners, and outside contacts as needed
  • Handle miscellaneous administrative needs that come up throughout the day
Project & Team Coordination
  • Keep track of deadlines, deliverables, approvals, and outstanding tasks
  • Follow up with team members to make sure projects continue moving
  • Update project management systems, CRMs, and internal tracking documents
  • Make sure tasks are assigned to the correct person
  • Coordinate communication between clients and internal team members
  • Help organize multiple projects happening at the same time
  • Identify bottlenecks or missing information before they delay a project
  • Make sure meetings and conversations turn into clear next steps
  • Follow through until tasks are actually completed, not just assigned

Experience with platforms such as Google Workspace, Gmail, Google Calendar, project management software, CRMs, spreadsheets, and other cloud-based tools is helpful.

Marketing experience is a plus, but it is not required.

We care more about finding someone who is organized, proactive, reliable, an excellent communicator, and able to learn quickly.

What This Role Is Not

This is not a traditional administrative assistant position where you simply wait for tasks to be assigned.

There will absolutely be administrative work, but this person will also be trusted to communicate with clients, manage follow-ups, coordinate projects, solve problems, and help keep the business organized.

We need someone who is comfortable saying:

“I saw this needed to happen, so I took care of it.”

Salary & Benefits
  • $50,000 annual salary
  • Typically a four-day workweek, although a four-day schedule is not guaranteed every week based on business and client needs
