Job Summary
A growing company is seeking a bilingual Administrative & Operations Coordinator to serve as the primary communication link between its China-based management team and local American factories, clients, and staffing agencies. Key responsibilities include managing email correspondence, reconciling invoices and bills, processing client orders, and coordinating day-to-day operational activities.
Key Responsibilities
- HR & Labor Coordination
- Provide recruitment support for supervisory positions.
- Coordinate communication between the China-based management team and American employees.
- Bridge cultural and operational differences by understanding local workplace expectations, business etiquette, and communication styles.
- Support internal and external discussions and negotiations as needed.
- Operations & Billing Management
- Monitor and manage work email correspondence regularly.
- Reconcile staffing agency invoices at the end of each month.
- Prepare and submit payment documentation.
- Maintain email communication with staffing agency partners.
- Receive and process orders from U.S. clients via email.
- Ensure timely responses, accurate record-keeping, and effective handling of local client matters.
- General Factory Administration & Liaison
- Coordinate local facility administration, including scheduling pest control, maintenance, and other vendor services.
- Monitor copied client emails and ensure information is routed to the appropriate teams.
- Keep the China-based management team informed of relevant updates and client communications.
- Maintain operational alignment and timely communication with internal teams and external business partners.
Qualifications
- Fluency in both Mandarin Chinese and English, written and spoken.
- Ability to independently manage professional email correspondence and verbal communication in both languages.
- Must be based on-site in the United States.
- Strong understanding of American workplace culture, communication styles, and business practices.
- Experience in administration, executive assistance, or operations coordination.
- Strong multitasking, inbox management, and organizational skills.
- Excellent interpersonal communication and timely information-sharing abilities.
- High attention to detail, particularly in invoice reconciliation and document organization.
- Valid U.S. work authorization is required. Visa sponsorship is not available for this position.
