Job summary

May Center School for Autism and Development Disabilities in Randolph, MA is seeking an Administrative Assistant to coordinate engagement in ABA services by serving as the main point of contact for students’ families, funding sources, and referral sources.

The role includes processing referrals, managing paperwork, organizing clinical documents, scheduling safety drills, maintaining HIPAA compliance, and providing administrative support to clinical staff.

Qualifications

  • High School Diploma or GED required.
  • Two years of direct experience as an administrative assistant in a medical/treatment setting.
  • Proficiency in MS Office (Excel, PowerPoint, Word).
  • Strong organizational skills with the ability to multi-task.
  • Experience working with diverse funding sources including private health insurance.
  • Excellent written and verbal communication skills.

Responsibilities

  • Takes referrals for new clients, processes related paperwork, and verifies insurance coverage.
  • Contacts families to update status of application and waiting list.
  • Organizes and scans clinical documentation per filing guidelines.
  • Schedules and completes paperwork for semiannual fire drills.
  • Maintains site Emergency Management Plan and safety checklists.
  • Obtains referrals from pediatricians for Early Intervention Mass Health PCC plans.
  • Prepares intake materials and maintains forms.
  • Provides administrative support to clinical staff as needed.
