Organizational Relationships:
Under the direct supervision of the Executive Assistant, this individual is extremely visible and is the visitors’ or callers’ first impression of the Organization Headquarters’ office. A very professional appearance and courteous, pleasant, and welcoming personality is mandatory.
Duties and Responsibilities:
• Performs receptionist responsibilities to include answering phones through an automatic VOIP function.
• Greet numerous visitors and will be responsible for maximizing opportunity for positive Service Foundation impression.
• Greetings and directs visitors to the company
• Responds to regularly occurring requests for information.
• Respond to flag requests from donors/membership; Completes paperwork and coordinates with mailroom staff for distribution.
• Retrieves voicemail messages from main account (daily); Responds or forward messages accordingly
• Answers telephone and directs the caller to the appropriate associate (within 4 rings);
o Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.;
o Provides callers with information such as company addresses, directions to the company location, company fax numbers, company website and other related information.
• Maintains and routes publications.
• Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
• Tidy and maintain the reception area
• Assists with other related clerical duties such as photocopying, faxing, filing and collating.
• Other duties as assigned.
Knowledge and Skills Required:
• Proficiency in Office Suite (Word, Excel, PowerPoint, Outlook) is required. Experience with membership databases.
• Ability to handle multiple tasks, projects, and priorities effectively and professionally.
• Some moderate lifting (up to 25 pounds) may be required on an occasional basis.
Because part of this job requires being responsible for incoming phone calls, the associate must adhere to rigid office hours. The associate will be positioned at the front desk workstation and must request relief from a staff member when no substitute has been assigned. It is the responsibility of this individual to ensure that staff members are notified of any visitors in the lobby, as appropriate.
Physical and Environmental Demands:
This position requires an individual who can maintain a professional attitude while working on multiple assignments and being constantly interrupted at the front desk area. A large percentage of daily work is performed on the computer.
