Responsibilities

  • Provide daily administrative support to the President and Executive Vice President.
  • Manage calendars, appointments, meetings, travel arrangements, meeting logistics, and related scheduling needs.
  • Prepare, proofread, organize, and maintain correspondence, reports, presentations, meeting materials, and electronic and paper files.
  • Process invoices, bills, purchase requests, reimbursements, and other financial transactions.
  • Serve as the primary receptionist for the President’s Office, Executive Vice President, Human Resources, and Advancement area, welcoming students, employees, alumni, donors, trustees, applicants, vendors, and other visitors.
  • Maintain strict confidentiality regarding personnel, financial, donor, student, and institutional matters.
  • Assist Human Resources with onboarding, scheduling, employee communications, document preparation, data entry, record‑keeping, orientations, interviews, and other light administrative duties.
  • Provide backup administrative support and assist with College events and special projects as needed.
  • Perform other duties as assigned.

Position Summary

Albright College seeks an organized, professional, and service-oriented Administrative Assistant to support the President and Executive Vice President while also providing administrative assistance to Human Resources and Advancement. This position manages calendars and meetings, processes financial transactions, supports office operations, assists with Human Resources onboarding, manages incoming mail, and serves as the primary receptionist for the area. The position requires strong organization, discretion, professionalism, and the ability to manage multiple priorities.

  • Provide daily administrative support to the President and Executive Vice President.
  • Manage calendars, appointments, meetings, travel arrangements, meeting logistics, and related scheduling needs.
  • Prepare, proofread, organize, and maintain correspondence, reports, presentations, meeting materials, and electronic and paper files.
  • Track deadlines, follow‑up items, special projects, institutional initiatives, and Board‑related activities as assigned.
  • Process invoices, bills, purchase requests, reimbursements, and other financial transactions.
  • Complete monthly credit card reconciliations, including collecting receipts, identifying account information, and preparing documentation for approval.
  • Maintain appropriate financial records and work with the Finance Office to resolve payment or documentation questions.
  • Serve as the primary receptionist for the President’s Office, Executive Vice President, Human Resources, and Advancement area, welcoming students, employees, alumni, donors, trustees, applicants, vendors, and other visitors.
  • Answer and route calls and general inquiries to the appropriate person or office.
  • Receive, sort, and distribute incoming mail and deliveries for the President’s Office, Advancement, and Human Resources.
  • Assist Human Resources with onboarding, scheduling, employee communications, document preparation, data entry, record‑keeping, orientations, interviews, and other light administrative duties.
  • Maintain strict confidentiality regarding personnel, financial, donor, student, and institutional matters.
  • Provide general administrative support to Advancement, including mailings, event preparation, meeting coordination, donor and alumni correspondence, and other projects.
  • Maintain office supplies, assist with copying, scanning, outgoing mail, deliveries, and general office operations.
  • Exercise sound judgment in prioritizing requests and determining when matters should be directed to senior leadership or another office.
  • Provide backup administrative support and assist with College events and special projects as needed.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Previous administrative, office, executive support, or related experience preferred.
  • Strong organizational, communication, customer service, and time‑management skills.
  • Ability to manage multiple priorities, meet deadlines, and work with limited supervision.
  • Demonstrated discretion and ability to handle confidential information.
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and standard office technology.
  • Experience with calendar management, financial processing, reimbursements, or Human Resources administration preferred.
  • Previous experience in higher education, Human Resources, Advancement, nonprofit organizations, or executive support is a plus.
  • Professional, dependable, collaborative, and comfortable interacting with individuals at all levels of the College and with members of the public.
