As the Administrative Assistant, you will support the shopping center management team in achieving ownership objectives by providing high-quality administrative support, coordinating daily office operations, and ensuring efficient cross-departmental communication. You will report directly to the General Manager and play a key role in retail property management, tenant coordination, office administration, and operational support within a fast-paced commercial real estate environment.

To be successful, you should have
  • Associate’s degree required; Bachelor’s degree preferred in Business Administration or related field.
  • Minimum 3+ years of administrative assistant or office coordinator experience, preferably in retail property management, commercial real estate, or shopping center operations.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with accounts payable, invoicing, and property management systems such as MRI preferred.
  • Solid written and verbal communication skills with the ability to support tenant relations, customer service, and executive-level correspondence in a fast-paced environment.
  • Highly organized, detail-oriented, and adaptable with solid time management, multitasking, and problem-solving skills to support daily operations and office administration.
Your responsibilities as the Administrative Assistant will include
  • Greet, welcome, and direct visitors appropriately.
  • Answer and direct incoming calls and inquiries.
  • Maintain employee, department, and tenant directories.
  • Operate the telecommunication system by following the manufacturer’s instructions for house phone and console operation.
  • Maintain comprehensive knowledge of shopping center stores, business hours, and other relevant property information.
  • Assist in maintaining schedules of office team personnel and common area activities.
  • Receive and log mail, deliveries, documents, and checks, and distribute them to the appropriate parties.
  • Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
  • Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Administrative/Accounting
  • Support various departments with office-related tasks, including but not limited to data entry, website updates, sales collection, retailer communications, and operational notifications.
  • Assist in the preparation of contracts/agreements, renewals, and amendments for Local Leasing tenants.
  • Coordinate the tenant sales process, including collection, input, reporting, and billings.
  • Download & balance Home Depot monthly statement.
  • Maintain the tenant/Keter trash database and the maintenance Home Depot statement process.
  • Prepare tenant move-in/move-out documentation.
  • Maintain the tenant and contractor Insurance log and ensure records are current and accurate.
  • Assist Operations in the RES utility reading data submission.
Marketing/Leasing
  • Assist in developing in-center marketing materials to support Marketing and Local Leasing programs.
  • Build and maintain strong tenant relationships, facilitate communication, and encourage retailer participation in center programming and marketing opportunities.
  • Manage retailer contract updates, merchant newsletters, survey follow-ups, and other informational memos.
  • Support event recaps and other reporting needs, tracking retailer sales, event results, and category trends.
  • Gather and report on traffic insights, tidbits, and social media statistics.
  • Assist with special events, including setup, teardown, and day‑of execution.
  • Capture events for social media, historical documentation, pitch books, and other reports.
  • Monitor media coverage, track press mentions, and assist with PR initiatives.
  • Review website content, including retailer listings, store deals, directory updates, hours, and events.
  • Monitor and respond to Google and other online reviews.
  • Submit and review event listings on local event calendars.
  • Assist with seasonal décor, vacant window displays, photo booths, and other activations that enhance the shopper experience.
  • Support the Marketing & Business Development Manager and Local Leasing Manager with administrative duties, lead generation, agreement execution, COI collection, installation coordination, contract compliance, and post‑campaign evaluations.
