Position Purpose

Provides day-to-day support to the Assistant to the Dean of the Faculty Committees and the Director of Academic Operations.

Maintains an understanding of office commitments and acts to ensure the smooth flow of work and timely accomplishments of office objectives. Works to increase office efficiency and productivity and serves as the first point of contact for both offices.

  • Assists with the planning of small and large committee meetings. Support includes researching/securing venues, booking caterers, ordering refreshments, preparing handouts, securing audiovisual equipment, ensuring proper room set up, and providing on-site assistance leading up to and during meetings/events.

Calendar/Management/Communications

  • Oversees general email account, including daily monitoring and general Outlook upkeep, responding to, and filing emails, and sending out email communications on behalf of the Assistant to the Dean.
  • Assists the Assistant to the Dean in managing meeting requests, organization and preparation of meeting materials, and other scheduling responsibilities.
  • Answers phones, direct calls, records messages, and responds to inquiries on behalf of the Assistant to the Dean.
  • Ensures accuracy, thoroughness, and confidentiality of information pertaining to faculty, staff, departments/programs, and committees.

Description

General Office Support

  • Responsible for ordering supplies for related committee activities in a timely fashion and reconciles all p-card receipts for office purchases.
  • Organizes faculty committee recordkeeping, scans faculty committee meeting materials to build archive or records and maintains archive of committee meeting materials in electronic format.
  • Collects faculty CVs for annual committee elections and organizes in shared folders for the Assistant to the Dean.
  • Updates/maintains record of faculty committee assignments in IRIS
  • Prepares and administers annual committee preference survey to the faculty, uploads results to committee portal in IRIS
  • Prepares committee and council appointment letters for the Assistant to the Dean.
  • Maintains Faculty of Arts and Sciences Committee SharePoint hub.
  • Updates Organization of the Faculty of Arts and Sciences charter document
  • Updates/maintains Arts and Sciences Committee webpage.
  • Assists with research, data gathering, and special projects associated with faculty committee activities as needed.

  • Assists in the day-to-day operations of the office and division, including updating templates, processes & projects across all divisions, and support of a variety of divisional needs.
  • Serves as point of contact for A&S departments, programs, centers, institutes, ITC , and other campus partners. Provides guidance and support to ensure smooth operations.

Description

Systems Administration and Project Management

  • Assists the Director of Academic Operations in maintaining information systems, data integrity, project management, and data reporting.
  • Provides regular reports to director and DoF senior leadership.
  • Assists in the preparing of annual compensation sheets for director and deans, archives data, and ensures relevant information is available to the offices of finance and human resources.
  • Serves as point of contact on academic systems, refers inquiries to appropriate parties.
  • Supports chairs, associate deans on systems related to faculty recruitment, evaluation, etc.
  • Regularly updates users on procedures related to faculty recruitment & evaluation systems.

Communications

  • Works with the executive assistant to the dean and A&S director of communications on DoF communication ( FRS memos, teaching FRS memo, salary sheet that accompany salary letters, etc.)
  • Drafts reports, memos, correspondence as needed.
  • Builds and maintains strong partnerships within Wentworth, faculty, department/program chairs, and central administrators.
