Job summary

Bank of America is seeking an experienced Senior Administrative Assistant to provide confidential executive support, manage complex calendars, coordinate travel, and process expenses. The role supports multiple executives within the Global Payment Operations line, requiring strong organization, discretion, and communication skills.

You will prepare minutes, reports and correspondence, liaise with internal and external stakeholders, and help organize in-person meetings and off-sites as needed.

Qualifications

  • Minimum of 3 years of experience providing administrative support at the senior management level.
  • Ability to synthesize information across multiple initiatives and provide timely, actionable insights to leadership.
  • Strong organizational and time management skills with ability to handle multiple priorities under pressure.
  • Discretion and confidentiality when handling sensitive information; professional demeanor with executives.
  • Excellent written and verbal communication; ability to interface with Senior Executives.

Job Description:

This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.

Line of Business:

The Global Payment Operations (GPO) organization delivers global wire transfers and ACH payments for internal and external bank clients and supports end-to-end payment execution and investigations for transactions initiated through various channels. The team also provides sanctions screening on transactions for multiple products, in accordance with policies established by the Global Economic Sanctions Compliance team.

Responsibilities:
  • Communicates with executives and line management to gather and convey relevant information
  • Answers manager's phone line, documenting accurate messages, and handling calls with appropriate judgment
  • Manages the calendar of multiple executives proactively, effectively resolving conflicts that arise in a professional manner
  • Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments
  • Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills
  • Prepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers to answer questions, research, and resolve problems
Required Qualifications:
  • Minimum of 3 years of experience providing administrative support at the senior management level
  • Demonstrated ability to synthesize information across multiple initiatives, maintain strategic visibility into key priorities, proactively engage stakeholders for updates, and provide leadership with timely, actionable insights.
  • Proven ability to manage multiple priorities and proactively engage partners to track progress, resolve dependencies, and ensure timely follow-through
  • Strong organizational awareness and understanding of how workstreams impact one another
  • Significant time management, multi-tasking and prioritization skills
  • Highly organized, Proficient in time management, with strong attention to detail
  • Ability to work effectively under pressure and time constraints
  • Strong written and verbal communication skills, ability to interface with Senior Executives
  • Confidentiality-ability to handle sensitive information and maintenance of confidentiality
  • Interpersonal Skills: The ability to build rapport and work effectively with others is vital.
  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint, OneNote, Teams)
  • Concur or similar experience processing travel and expenses
Desired Qualifications:
  • Bachelor's degree preferred
  • Knowledge of Bank of America systems including: Workday, Ariba, TechDirect, Flagscape, ACR, ARM, etc
