Job summary

Sinclair Community College's Prison Education Program seeks an Administrative Assistant II to provide high-quality administrative support to Directors and faculty. You will manage calendars, coordinate materials, and assist with records and communications to ensure smooth program operations on campus and at correctional facilities.

Qualifications

  • Associates degree required; bachelors preferred.
  • Minimum of three years of professional office experience required.
  • Experience in correctional, law enforcement, or higher education setting preferred.
  • Must have strong written and oral communication skills.
  • Ability to work with diverse stakeholders including inmates and staff.

Responsibilities

  • Provide administrative support to the Prison Education Program directors and faculty.
  • Monitor shared email accounts, schedule meetings, and coordinate calendars.
  • Assist with course scheduling, materials, and instructional resources.
  • Track and manage instructional materials, technology, and office supplies.
  • Maintain records, forms, and reports with confidentiality compliance.
  • Support student and faculty processes and program activities.
  • Assist with equipment inventories and logistics for graduations and credentialing.
  • Provide on-site support at correctional facilities as assigned.

The Administrative Assistant II – Prison Education Program position at Sinclair provides high-quality administrative support to the Directors of Internal and External Programs, as well as full-time and part-time faculty within the Prison Education Program. This role helps ensure the department operates efficiently, professionally, and effectively while fostering a positive, collaborative, and service-oriented environment for students, faculty, staff, and external partners.

The salary for this position begins at $40,359.00 and is determined commensurate with education and experience.

Principal Accountabilities
  • Provide administrative support within the Prison Education Program department, ensuring efficient daily operations and effective communication among stakeholders
  • Serve as a primary point of contact for departmental inquiries by monitoring shared email accounts, responding to routine requests, scheduling meetings, distributing communications, and coordinating calendar activities
  • Assist with academic and semester planning activities, including course scheduling support, semester preparation, instructor communications, course material coordination, and maintenance of instructional resources
  • Coordinate the ordering, tracking, inventory management, distribution/delivery, and return of instructional materials, textbooks, technology, office supplies, and other program resources in accordance with departmental and institutional procedures
  • Process and maintain departmental records, forms, reports, spreadsheets, evaluations, and documentation while ensuring compliance with college record retention requirements and confidentiality standards
  • Support student and faculty-related processes, including Prior Learning Assessments, instructor evaluations, academic correspondence, Dean’s List communications, and other programmatic activities
  • Assist with the management and tracking of instructional technology and equipment, including Chromebook inventory, labeling, distribution, and related records
  • Support graduation and credentialing activities by coordinating logistics, maintaining inventories of graduation materials, preparing certificates and regalia, and collaborating with correctional facilities, faculty, program leadership, families (where permitted), and Sinclair commencement personnel
  • Provide on-site operational support at correctional facilities as assigned and maintain collaborative working relationships with facility staff to support program delivery and student success
  • Assist with special projects, departmental events, meetings, and other initiatives in support of Advanced Job Training, Prison Education Program, and institutional goals
  • Other related duties as assigned
Requirements
  • Minimum of an associate’s degree required; bachelor’s degree in a related field preferred
  • Minimum of three (3) years of professional office experience required; experience in correctional, law enforcement, or higher education setting preferred
  • Current working knowledge of and successful professional experience working within the criminal justice system preferred
  • Professional communication skills to include but not limited to oral and written required
  • Ability to successfully work with diverse constituents, including college faculty and administrators as well as inmates and staff in correctional facilities required
  • Ability to work on multiple tasks simultaneously while providing great attention to detail while meeting all prescribed deadlines required
  • Current working knowledge of Microsoft Office and ability to learn necessary college-related databases required
