Position Summary
The Administrative Assistant II – Prison Education Program position at Sinclair provides high-quality administrative supportto the Directors of Internal and External Programs, as well asfull-time and part-time faculty within the Prison EducationProgram. This role helps ensure the department operatesefficiently, professionally, and effectively while fostering apositive, collaborative, and service-oriented environment forstudents, faculty, staff, and external partners.
The salary for this position begins at $40,359.00 and isdetermined commensurate with education andexperience.

Principal Accountabilities
- Provide administrative support within the Prison EducationProgram department, ensuring efficient daily operations andeffective communication among stakeholders
- Serve as a primary point of contact for departmental inquiriesby monitoring shared email accounts, responding to routinerequests, scheduling meetings, distributing communications, andcoordinating calendar activities
- Assist with academic and semester planning activities,including course scheduling support, semester preparation,instructor communications, course material coordination, andmaintenance of instructional resources
- Coordinate the ordering, tracking, inventory management,distribution/delivery, and return of instructional materials,textbooks, technology, office supplies, and other program resourcesin accordance with departmental and institutional procedures
- Process and maintain departmental records, forms, reports,spreadsheets, evaluations, and documentation while ensuringcompliance with college record retention requirements andconfidentiality standards
- Support student and faculty-related processes, including PriorLearning Assessments, instructor evaluations, academiccorrespondence, Dean’s List communications, and other programmaticactivities
- Assist with the management and tracking of instructionaltechnology and equipment, including Chromebook inventory, labeling,distribution, and related records
- Support graduation and credentialing activities by coordinatinglogistics, maintaining inventories of graduation materials,preparing certificates and regalia, and collaborating withcorrectional facilities, faculty, program leadership, families(where permitted), and Sinclair commencement personnel
- Provide on-site operational support at correctional facilitiesas assigned and maintain collaborative working relationships withfacility staff to support program delivery and student success
- Assist with special projects, departmental events, meetings,and other initiatives in support of Advanced Job Training, PrisonEducation Program, and institutional goals
- Other related duties as assigned
Requirements
- Minimum of an associate’s degree required; bachelor’s degree ina related field preferred
- Minimum of three (3) years of professional office experiencerequired; experience in correctional, law enforcement, or highereducation setting preferred
- Current working knowledge of and successful professionalexperience working within the criminal justice systempreferred
- Professional communication skills to include but not limited tooral and written required
- Ability to successfully work with diverse constituents,including college faculty and administrators as well as inmates andstaff in correctional facilities required
- Ability to work on multiple tasks simultaneously whileproviding great attention to detail while meeting all prescribeddeadlines required
- Current working knowledge of Microsoft Office and ability tolearn necessary college-related databases required
