Job summary

Stark State College seeks an Administrative Assistant I in the Business, Engineering and IT Division to support faculty, staff and students. The role acts as a liaison and requires excellent customer service and communication.

Salary range is $33,403 to $42,814 per year. Typical hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. This full-time position offers comprehensive benefits and opportunities to engage with campus activities.

Qualifications

  • High school diploma or GED required.
  • At least one year of administrative assistant experience or an Associate's degree.
  • Associates degree in business, office administration, or related field preferred.

Responsibilities

  • Provides administrative support to faculty, staff, and students within the department.
  • Greet individuals and respond to inquiries via telephone, email, or in person.
  • Perform routine to moderately complex administrative tasks according to department policies.
  • Maintain filing systems and organize office operations.
  • Support budget tracking, invoices, purchase orders, and expense reports.
  • Plan and coordinate departmental/division events, workshops, and conferences.

Administrative Assistant I, Business, Engineering and IT Division

The Administrative Assistant I (Business, Engineering and Information Technology Division) acts as a liaison between office staff and Stark State College students, external and internal stakeholders, has excellent customer service skills, and provides support to coworkers.

Salary range: Min: $33,403/yr. Max: $42,814

Typical Hours of Work: Monday through Friday 8:00 a.m. until 4:30 p.m.

Typical Responsibilities Include:
  • Provides administrative support to faculty, staff, and students within the assigned department.
  • Serves as the first point of contact for a fast-paced office by greeting individuals, providing information, answering questions directed via various modes (telephone, e-mail, in person), and responding to requests.
  • Performs a variety of routine to moderately complex administrative office functions that require an understanding of departmental or divisional operations and policies in support of the department.
  • Coordinates and maintains effective office procedures and efficient workflow. Establishes and maintains efficient filing systems and office organization.
  • Maintains good working relationships with other areas of the college to ensure accurate reporting and coordination of activities.
  • Exercises good judgment and discretion when handling confidential items or providing information to employees, students, or the public.
  • Responsible for assisting in the successful planning, support, and execution facilitation of planned community events, including vendor communications as appropriate.
  • Manage and maintain department/division files, records, and databases with accuracy and confidentiality.
  • May assist with curriculum-related administrative functions, including maintaining and updating curriculum materials, scheduling academic courses, updating program information, and processing textbook requisitions (as appropriate and assigned for department/division supported).
  • Support budget tracking and procurement processes by processing invoices, purchase orders, and expense reports.
  • Assist in the planning and coordination of departmental/division events, workshops, and conferences.
  • Responsible for assisting in the successful planning, support, and execution facilitation of planned community events, including vendor communications as appropriate.
Qualifications
  • High school diploma or GED required.
  • At least one year of administrative assistant experience or an Associate's degree is required.
  • It is preferred that the Associate's degree be in business, office administration, or another related field.
