JOB DESCRIPTION

The Princeton Human Services Department seeks a full‑time Administrative Assistant to support daily operations, public service delivery, and program coordination in a high-paced local government social services office. This position serves as the primary front-line representative, offering professional and compassionate support to residents, community partners, and visitors, and directing individuals to appropriate information, resources, and referrals.

The ideal candidate is highly organized, proactive, and service-oriented, with the ability to manage multiple administrative and program priorities accurately and professionally. Key responsibilities include processing procurement payments, performing reception and clerical tasks, managing schedules and records, coordinating programs, and monitoring projects with strict deadlines. The Administrative Assistant must work effectively as part of a team and collaborate respectfully with residents, community partners, vendors, municipal staff, and other stakeholders. A strong understanding of social services, confidentiality, and compassionate customer service is required.

ESSENTIAL FUNCTIONS PERFORMED
  • Serve as a front‑line representative of the Human Services Department by greeting residents and visitors, answering phones, responding to general inquiries, and directing individuals to appropriate staff, services, or community resources
  • Perform a range of administrative duties, including but not limited to filing, data entry, records management, mailings, scheduling, calendar coordination, meeting preparation, and general office support
  • Process purchase orders, invoices, payment requests, vendor documentation, and related financial records accurately and in accordance with municipal procedures
  • Assist residents by providing information, application assistance, referrals, and support related to available public, nonprofit, and community-based social services
  • Maintain the confidentiality of client, resident, and department information by handling sensitive situations with professionalism and compassion
  • Maintain the department's social media and digital footprint, including managing the Human Services website
  • Coordinate yearly department initiatives and partnerships, including the Holiday Gift Drive, Backpack and School Supply Drive, Vision Clinics, Leadership Retreats, WIC Clinics, monthly visits from community partners, additional community events, and joint meetings
  • Collect donations, manage inventory, sort supplies, schedule residents, oversee on‑site logistics, distribute resources, coordinate referrals, prepare for meetings, and maintain ongoing communication for recurring programs and partnerships
  • Collaborate with other agencies on programming, best practices, policy, trends, and professional development
  • Maintain department calendars, schedule client appointments and meetings, and help ensure critical deadlines, reporting dates, and program timeframes are met
  • Attend and assist at outreach events to raise awareness and promote the department's programs and services
  • Work collaboratively with community partners, residents, municipal departments, vendors, and other stakeholders to support programming, outreach, and service coordination
  • Perform other duties as directed by the Human Services Director and Assistant Director
REQUIRED KNOWLEDGE & ABILITIES
  • Bachelor's degree in a related field (Human Services, Social Work, Public Health, etc.) or equivalent level of experience engaging with diverse and sensitive populations
  • Bilingual skills (English/Spanish) are strongly preferred
  • Office Suite (MS suite of options - PowerPoint, Excel, Word)
  • Strong organizational, project management, and time management skills and experience
  • Proactive self-starter with integrity, a strong work ethic, and sound judgment
  • A positive attitude and commitment to working as a team player in a dynamic and fast-paced environment
MINIMUM REQUIRED QUALIFICATIONS
  • Must satisfy employer paid physical, drug screen and criminal background check
  • NJ residency required by N.J.S.A. 52:14-7 (L. 2011, Chapter 70)
  • Pursuant to Federal Law, proof of US Citizenship or immigration status will be required upon hire
