Job summary

The Carter Center in Atlanta seeks an experienced events coordinator to provide logistical support for meetings, conferences, receptions, and related functions. You will work closely with clients to ensure expectations are met and handle room setup, AV setup, and vendor coordination.

The role requires physical ability to lift 75+ pounds, a valid Georgia driver’s license, and availability for evenings or weekends as needed.

Qualifications

  • Bachelor's degree or combination of education and five years of administrative support or event coordination experience.
  • Proficiency with Microsoft Office and collaboration tools such as OneDrive, Zoom, and Teams.
  • Valid Georgia Driver’s License and an insurable driving record.
  • Ability to lift 75+ pounds.
  • Excellent interpersonal and customer service skills.
  • Willing to work varying hours, including evenings and weekends, as required.

Responsibilities

  • Provide logistical support to clients planning meetings, conferences, receptions, dinners, weddings, and other events.
  • Work closely with clients to ensure event expectations are met.
  • Perform room setup and breakdown; set up tables, chairs, and audiovisual equipment.
  • Move, lift, and haul furniture, boxes, tables, chairs, staging materials, and event-related items.
  • Coordinate with exclusive vendors to adjust room setups.
  • Receive and screen incoming correspondence and telephone calls; forward to supervisor with background information.
  • Submit invoices, reimbursements, and expenses to Unit4 and track processing.
  • Assist in preparing event and vendor contracts.

Job description

  • Provide logistical support to internal and external clients planning and implementing meetings, conferences, receptions, dinners, weddings, and other events
  • Work closely with clients to ensure event expectations are met
  • Perform room setup and breakdown
  • Set up tables, chairs, and audiovisual equipment
  • Move, lift, and haul furniture, boxes, tables, chairs, staging materials, and event-related items
  • Coordinate with exclusive vendors to adjust room setups
  • Receive and screen incoming written correspondence and telephone calls
  • Respond to routinely handled inquiries and forward remaining correspondence to the supervisor with background information
  • Submit invoices, reimbursements, and expenses to Unit4 and track processing
  • Assist in preparing event and vendor contracts
Requirements
  • Bachelor's degree or a combination of a high school diploma (or equivalency) and five years of administrative support or secretarial experience
  • Proficiency with Microsoft Office, including PowerPoint, Outlook, and Excel
  • Experience with collaboration tools such as OneDrive, Zoom, and Teams
  • Bachelor's degree or a high school diploma and experience in planning, coordinating, and conducting special events, or an equivalent combination of education, training, and experience
  • Valid Georgia Driver’s License and an insurable driving record
  • Ability to lift 75+ pounds
  • Familiarity with The Carter Center and its facilities preferred
  • Excellent interpersonal and customer service skills
  • Strong written and verbal communication skills
  • Must be available to work varying hours, including evenings and weekends, and overtime as required
  • Must reside within the State of Georgia
  • Currently authorized to work in the United States for any employer
