Ideal candidate has an Associate of Arts in Business or Management and/or 5+ years of government experience, strong Microsoft Office and Google apps skills, and the ability to multi-task while maintaining confidentiality and accuracy.

Responsibilities

  • Support various Federal and Contract employees and assist with timekeeping, scheduling appointments, travel arrangements, and vouchers.
  • Maintain executive calendars and prepare briefing materials, letters, and memoranda for senior leadership.
  • Create letters/memoranda for executive staff review and maintain recurring internal reports (time/leave, equipment listings, training plans).
  • Review materials for typographical accuracy and proper format.

Position Summary:

We are currently seeking an Administrative Assistant to support our GSA customer site in Boston, MA. This individual will work independently, with minimal guidance, and support of various service centers and business lines, providing administrative support to one or more management or senior leadership individuals at the same time.

Essential Duties and Responsibilities:
  • To support various associates, both Federal and Contract employees.
  • Services are associated with timekeeping, scheduling appointments, personnel process facilitation, making travel arrangements, processing travel vouchers, managing supply budgets and supply inventory, control mail, maintaining executive calendars and associated tasks related to supporting functions of upper management and other Staff.
  • Position requires developing a highly responsive relationship with their customers.
  • In addition to work center administration, the incumbent will be required to perform secretarial duties (filing, taking phone calls), this position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll and travel.
  • This position will also require the ability to create letters and/or memorandum for executive staff review.
  • The Administrative Assistant III will be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials, graphics and photos.
  • Maintain recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans.
  • Review materials prepared for approval for typographical accuracy and proper format
Qualifications:
  • Must have at least 5years of experience working with government staff.
  • To perform this job successfully, an individual must be able to multi-task and perform each essential duty satisfactorily.

Education/Experience:
  • An Associate of Arts degree with coursework in Business or Management or similar and/or 5or more years of recent and relevant experience are required.
  • Additional required attributes are excellent organizational skills, excellent interpersonal communications skills,and collaborative approach atinteractions with others including customers and contractors.
  • Advanced skill level in Microsoft Office and Google applications are also required.
