Aquent Talent, in partnership with a global leader in innovation, seeks a skilled Program Coordinator to drive global initiatives and ensure seamless execution across regions. You will own intake tracking, quality reviews, governance playbooks, dashboards, and monthly business reviews, partnering with regional teams to scale best practices.

  • Excellent communication and interpersonal skills, capable of partnering with diverse cross-functional and regional teams.
  • Analytical mindset with experience in building and maintaining reporting dashboards and producing business reviews.

Responsibilities

  • Own the day-to-day program intake tracker, ensuring submissions are complete and progressing through the review process.
  • Conduct initial quality review of program requests, validating alignment to priorities, timing, budget, PR opportunities, production support, and governance.
  • Maintain the program calendar, tracking approved programs from intake through recap.
  • Manage program status across lifecycle, from proposed stages through delivery and recap.
  • Prepare weekly leadership review materials with recommendations, key decisions, and actions.
  • Track follow-ups and actions from leadership reviews, ensuring timely closure.
  • Support the implementation of the global program strategy across operational teams and regions.
  • Develop and maintain program playbooks, governance resources, and templates.
  • Maintain decision logs, FAQs, and intake guidance to improve consistency and transparency across regions.
  • Partner with regional teams to identify process improvements and scale best practices globally.
  • Coordinate cross-functional milestones supporting major program initiatives and rollouts.
  • Build and maintain program reporting dashboards tracking attendance, reach, PR participation, and other metrics.
  • Produce monthly business reviews identifying trends, opportunities, and recommendations.
  • Standardize recap templates and reporting processes across geographies.
  • Monitor performance against strategic objectives and identify opportunities to strengthen the program portfolio.
  • Maintain a repository of program case studies and best practices.

Your Impact & Responsibilities

  • Produce monthly business reviews that identify trends, opportunities, and recommendations—moving beyond simple activity reporting.
  • Standardize recap templates and reporting processes across geographies.
  • Monitor performance against strategic objectives and identify opportunities to strengthen the overall program portfolio.
  • Maintain a repository of program case studies and best practices to inform future planning.
  • Drive operational consistency across worldwide program planning processes, ensuring scalable workflows and clear ownership.
  • Develop standardized templates, documentation, and tools that improve efficiency across global, regional, public relations, production, and partner teams.
  • Identify opportunities to streamline workflows, eliminate manual effort, and improve visibility into program operations.
  • Support the implementation of new operational tools and systems that strengthen planning, tracking, and reporting across the program organization.
